How do I process a QuickPay?

Start on the Home page.

Hello, my name is Mike. In this video, I’ll show you to run a simplified QuickPay and verify payment calculations.

Click My Client Groups.

Click Payroll.

QuickPay payments includes the prepayment process, so it processes a QuickPay and prepayments. The Simplified QuickPay only runs the QuickPay process and displays the Statement of Earnings.

Click the Simplified QuickPay task.

The search defaults to today’s date. If I need to process something for a previous or future pay period, I can use the advanced search and enter a specific Effective As-of Date.

Search for and select Kaitlin Ashford.

The Consolidation Group is defaulted from the payroll I’m submitting. And because search uses today’s date, it displays the current pay period. The period name is derived from the effective date, and based on that the date earned, and process date are automatically defaulted I can decide which elements I want to process, or click Select All to process all of them. If I need more help refining the list of elements shown here, I can also use the filters.

Click Show Filters.

Click Expand All.

Scroll down to each filter section as it’s mentioned in the narration.

Scroll down to show all available filters.

Scroll to top of page.

There are several filter options, including Element Classification (pause), Entry Type (pause), and Creator Type, which among other options, allows me to filter elements to see only those created by the Retroactive Pay Element process.

Click Hide Filters.

Now I’ll add the Referral Bonus element.

Click Add.

The Effective As-of Date defaults to today’s date, and since I want to process the bonus in this pay period I’ll leave that as is.

In the Element Name field select Search.

In the Element Name field, enter Referral.

Click Search.

In the Search Results, click Referral Bonus HC.

Click OK.

Once I’ve selected the Referral Bonus, I can see the Assignment the element is assigned against. Now I’ll enter the amount.

Click Continue.

First, I’ll confirm the Effective Start Date is correct. If I was entering a recurring element, there wouldn’t be an End Date, because it would process each period until an End Date was entered. But since this is a nonrecurring element, the Effective End Date is automatically populated because it only runs for this one pay period. Now I’ll enter her bonus amount.

In the Amount field, enter 1000.

Click Submit.

Now I can see her Referral Bonus. If I need to, I can drill down to see the values I entered. Now I’ll submit the QuickPay to make sure the Referral Bonus is calculated correctly.

Click Expand for the Referral Bonus HC element.

Click Collapse for the Referral Bonus HC element.

Click Submit.

Now that the QuickPay is submitted successfully, I can see the Statement of Earnings, which shows the period Kaitlin’s referral bonus was processed, the start and end date, and the payroll that it was run for. I can also see a breakdown of the Earnings, including the referral bonus I just submitted. And if I need to, I can drill down for even more details.

Click Show Details.

At this point, if I wanted to pay Kaitlin, I’d run additional processes, such as the calculate QuickPay prepayments, Archive, Payslip, and if I wanted to pay her by check, CheckWriter. But since I only wanted to confirm the calculation, I’m now going to delete the QuickPay.

Scroll down to Earnings section and highlight

Click Actions and select Delete.

Now I’ve deleted the QuickPay, but I’m going to leave the Referral Bonus element so that it’ll be picked up during the next payroll run. This concludes the Simplified QuickPay tutorial. For more information about the Statement of Earnings, please watch the Viewing a Statement of Earnings tutorial. Thanks for watching.
