Hire an Employee
You create a person record and a work relationship in Oracle HCM Cloud when you hire an employee. In this example, you will hire an employee, Jennifer O'Malley to the US1 Legal Entity.

Employee Note: The employee role is assigned by default when you select the
Hire an Employee quick action.

Do the following tasks to create Jennifer's person record:

On the Home page, click the Hire an Employee quick action
under the My Client Groups tab.
The Hire an Employee guided process opens.

In the Info to include step, select the information you want
to enter for the new hire.
The Info to include step shows all the available steps in the guided process. Your company may have a different configuration where some steps are automatically selected, some are optional, or you may not even see this selection page.

Select the following steps:
- Communication
- Addresses
- Legislative info
- Citizenship info
- Managers
- Work relationship
- Payroll details
- Salary
- Compensation
- Select Continue.

Select the following steps:

In the When and why step of the guided process, select the
hire date, legal employer, business unit, and position.
Depending on how your application is configured, you may not see effective date defaults for all employment flows, including the hiring flow.

In the Personal details step, enter the personal details and
national identifier.
When you leave the Personal details step, the process performs a duplicate search. If Jennifer had previously worked for the company, she would have an existing record that you can select. Then you can go through the rehire an employee process and the process creates a new work relationship for you.

- In the National ID Type field, select Social Security Number.
- In the National ID field, enter 471-51-8091.
- Select Save.

In the Communication info step, enter the phone and email
information.
- Select Phone details.

In the Addresses step, enter the new hire’s address.
After you enter the address, the application will display a list of addresses for you to choose from to make sure you’ve got the right one.
- Select Address.
- In the Type field, select Home Address.
- In the Address Search field, enter 113 Glencoe.
- In the Search results, select 113 Glencoe Cir 76302 Wichita Falls, TX.
- Select Save.
- Select Continue.

In the Legislative info step, enter any required legislative
info.
- In the Marital Status field, select Single.
- In the Highest Education Level field, select Bachelor of Science.
- Select Continue.

In the Citizenship info step, enter the following details:
- In the Citizenship field, select American.
- In the Citizenship Status field, select Active.
- Select Save.
- Select Continue.

In the Assignment step, enter and confirm the assignment
information, including the grade, where they’ll be reporting, if they’ll be working
remotely, and whether they’ll be paid hourly or salaried.

In the Managers step, add or edit their new manager.
Depending on how your application is configured, you may not see manager defaults for the hiring flow.

In the Work relationship info step, enter the work
relationship information and allow the new employee to verify their I-9 on their
first day.
- In the I-9 Status field, select Not started.
- Select Continue.

In the Payroll details step, enter the payroll frequency and
any other payroll details, including Tax Reporting Unit.
- Select Add.
- In the Payroll field, select Biweekly and then select Save.

In the Tax Reporting Unit field, select US1
Legal Entity.
Note that the legal entity must be associated with a legislative data group to enable payroll processing for the employee.
- Select Continue.

In the Salary step, enter the salary details.
When you enter the salary, the salary range, quartile, and compensation ratio are automatically displayed based on the selected grade, if this information is defined when creating the grade.
- In the Salary Basis field, enter US1 and then select US1 Annual Salary.
- In the Salary Amount field, enter 70000.
- Press Tab and scroll to the end of the page.
- Select Continue.

In the Compensation step, add any additional compensation
items such as allowances, relocation, or sign-on bonus.
- Select Add.
- Select a plan from the Plan drop-down list and enter the details.
- After you’ve entered all the information, review the new hire information and the approvers for Jennifer's person record, and then select Submit.
