Searching the Content Library

The Content Library offers two primary forms of search:

  • Keyword search searches the File name, Author, and Tag fields for a specified string. Keyword search is available in most areas of the Content Library.
  • Filtered search lets you search multiple folders for content. It is very similar to filtering the Content List, except you can search the entire library or specific folders (including or excluding its sub-folders). Use filtered search to refine your search results.

Keyword and filtered searches both search the File name, Author, and Tag fields. As a result, the filtered search strings override keyword search strings. For example, if you enter “Fall’ in the Search for field and “2013” in the Tags field, search will not look for tags that contain “Fall”.

Note: The Content Library does not support full text searches (searches of the file content). Searches operate only against metadata of the content item.

To use keyword search:

  1. Type the text you want to find in the Search for field above the Content List.
  2. To find an exact match, select the Exact Match check box.

    By default, searches use a partial match. A partial match returns all content that includes the search string. For example, searching for the string “Dynamic” will return content with the name DynamicNewsletter and MyDynamicNewsletter.

    An exact match returns content that contains only the search string. In this case, searching for “Dynamic” will return only files called Dynamic, not DynamicNewsletter or DynamicMagazine.

  3. Click Search.

    The Search Results page opens, showing content that matches your keyword(s). The keywords will be highlighted in the File name, author, and tags fields.

Tip: You can refine your search results using filtered search.

To perform a new search, click Reset and specify the new search criteria.

To return to the last folder you were viewing, click Back to [Folder].

Tip: Keyword searches do not need the file extension to match against file names and will match against authors or last modifiers. Additionally, keyword searches will find content that matches any tag (an “or” condition).

To use filtered search:

  1. Do one of the following:
    • Specify your filter criteria on the Search Results Page that opens after you perform a keyword search.
    • Click More search options next to the Search button above the Content List.
  2. Specify any of the following filter criteria:
    • Tags—displays only content with the selected tags.
    • Match— specifies match behavior for the tags selected in the Tags field: any tag selected or every tag.
    • Type—the type of content items to display: HTML, Text, Image, Video (.SWF), Office (.PDF), or all content types.
    • Author—the User Display Name of the person who created or last edited the item.
    • Created— the date that the content items were created. You can select either a date range (Today, Last 7 days, Last 30 days), or a custom date range.
    • Last Modified—the date that the content items were last modified. You can select either a date range (Today, Last 7 days, Last 30 days), or a custom date range.

    To perform a new search, click Reset and specify the new search criteria.

    To return to the last Folder you were viewing click Back to [Folder].
