Policies

This document describes in general some of the conditions under which your company has agreed to use Oracle Responsys. The specifics, which vary from one account to another, are detailed in the contract between Oracle Responsys and your company.

Note: Your company contractual agreement with Oracle Responsys will always supersedes any text on this page.

Users

In the Oracle Responsys software interface, certain features are available to account managers but not to other users, as described here. The documentation also distinguishes between account managers and other users.

Within the context of your company's agreement with Oracle Responsys, though, the term user refers to "a single natural person who is permitted to access and use the services." In this context, the account manager is simply one of the users of the account.

When Oracle Responsys creates your account, it includes one login name for the account manager, who has the ability to create one additional login name for a "regular" user.

Your company can purchase the ability for the account manager to create additional users in any of three categories:

  • Supported users, who can contact Oracle Responsys Support directly (like the account manager and the first included user). All supported users are required to receive the basic training in the use of Oracle Responsys. Basic training is also required for any supported user who goes 18 months or more without using the software. Trained users are responsible for helping any untrained users and can contact Oracle Responsys on their behalf.
  • Unsupported users, who must obtain assistance from a supported user rather than contacting Oracle Responsys Support directly.
  • Reports-only users, who are restricted from all Oracle Responsys activities except viewing data mart reports and changing password.

Even accounting for attrition, every account must have at least one Supported and trained user at all times. An unsupported and untrained user cannot contact Oracle Responsys Support directly.

Accounts

Your account setup includes one unique IP address, shared by all users of your account; unlimited "from" addresses, available to all users of your account; and the ability to use all character sets and locales (languages) supported by Oracle Responsys.

Your monthly service fee entitles users of your account to send a specific number of email messages each month; there is an overage charge for messages in excess of capacity sent from your account. Charges for print-on-demand campaigns and mobile device messages are based on actual usage (the number of print or mobile messages sent).

Client Data

Your company's agreement with Oracle Responsys refers to "client data," by which is meant all the documents, data sources, log files, and other components stored in folders in your Oracle Responsys account.

Each account includes storage of a specific amount of client data. Your service fee increases for any month in which your account exceeds that amount. Client data is never deleted or purged automatically.

You can reduce the amount of storage space used by your account by downloading unused documents and data sources from within Oracle Responsys, archiving them on your own storage media, and then deleting them from your Oracle Responsys folders. (Folder export is a convenient way to download large numbers of components in a single operation.) As an alternative, Oracle Responsys can archive your client data to CD or DVD for an additional fee.

Client data you delete from your Oracle Responsys account is retained for thirty days. During that thirty-day period, you can make a written request for restoration of the deleted client data. Oracle Responsys will make reasonable commercial effort to satisfy one such request per account per calendar year; additional restoration requests will incur charges at the current rate.

Data Mart

Your company's agreement with Oracle Responsys refers to the "data mart," by which is meant the area where Oracle Responsys stores performance and response data for the Oracle Responsys campaigns and forms that you create, edit, and launch or deploy. This data is not part of your client data and does not contribute to your account's usage of allocated storage space. Oracle Responsys uses this data when you create various reports about campaign performance and customer response.

Unless you arrange in advance for longer retention, most of this data is retained for a period of thirteen months. Note that the data used for the Deliverability By Week and Triggered Message reports is retained for only three months.

Note: Oracle Responsys live reports use client data, which is retained as described above.

Billing

Account setup and monthly service are billed quarterly in advance. Usage-based fees and overage are billed monthly in arrears.
