Email transaction documents to customers

Send a customer-facing PDF directly from a saved quote, sales order, invoice, return authorization, or item fulfillment. From the transaction’s Send by email action, you can review recipients and subject, add a note or copy recipient, preview the generated message and attachment, and then find the sent email later in the customer’s Activity history.

Before you begin

Send a transaction document

  1. Open Menu, and then open the list for the transaction you created:
    • For a quote, select Sales > Quotes.
    • For a sales order, select Sales > Sales orders.
    • For a return authorization, select Sales > Returns.
    • For an invoice, select Receivables > Invoicing > Invoices.
    • For an item fulfillment, select Products and services > Fulfillments > Item fulfillments.
  2. Select the saved transaction that you want to send.
  3. Select More actions > Send by email.
  4. Review the From, To, and Subject fields.
  5. To add more recipients, expand Cc/Bcc and complete the applicable fields.
  6. If you want a copy, select Send a copy to my email.
  7. Enter an Optional note if you want to add text to the standard email layout.
  8. Review the document in the Attachments section.
  9. Select Preview email to check the message and attachment.
  10. Select Send.

QuickStart closes the drawer and sends the email in the background. A notification first shows that the email is being sent and then confirms Email sent. If sending fails, QuickStart displays an error notification and you can try again. After a successful send, the message is available in the related email history. If the recipient replies, the reply goes to the address in the From field.
