Process inventory counts
Process a created inventory count by starting it, entering the physical quantities, and completing its approval flow. When the count is completed, QuickStart creates an inventory adjustment for each difference between the snapshot and counted quantity. Open Menu > Products and services > Manage inventory > Inventory counts.
Before you begin
Create an inventory count with the items you intend to count. If approvals are enabled, an authorized approver must complete the final step.
Enter the physical count
- Open Menu > Products and services > Manage inventory > Inventory counts.
- Open a count with the status Not started.
- Select Start count. QuickStart captures the snapshot quantity at this point and changes the status to Started.
- Select Edit.
- In Items, enter the physical quantity in Counted quantity for every line.
- Review the calculated Adjustment quantity. It is the counted quantity minus the snapshot quantity.
- Select Update.
- Select Submit for approval.
If approval is required, the status changes to Pending approval. Otherwise, the count is completed automatically.
Approve or reject an inventory count
- Open a count with the status Pending approval.
- Review the count header and all item quantities.
- To accept the count, select Approve, then select Confirm in the confirmation dialog.
- To return the count for correction, select Reject and confirm the action. Edit the rejected count, correct the quantities, and submit it again.
After approval, the status is Completed. Open Adjustments on the count to view the generated inventory adjustment. The adjustment uses the count’s account, location, and quantity differences. A positive difference debits the item’s inventory asset account and credits the count’s adjustment account. A negative difference reverses those directions. Open Accounting on the generated adjustment to review the amounts and configured account names.
