Oracle Hospitality

To interact with this integration in Workforce Management (WFM) head to Config > Integrations and select Oracle Hospitality from the list. If you have not previously configured an Oracle Hospitality Integration you will be prompted to setup a new integration.

Setting up a new integration

To setup a new integration head to the Oracle Hospitality integration area without having an integration already configured or select New from the menu on the left.

Enter a name for the integration, this is useful to differentiate the configurations if you have multiple Oracle Hospitality setups.

Enter the base URL (the URL that appears when you are logged into Oracle Hospitality Report and Analytics) e.g. https://mta4-ohra.oracleindustry.com/

Enter the auth URL (the URL that appears for the login page for Reporting and Analytics. e.g. https://mta4-ohra-idm.oracleindustry.com/

Enter the credentials required to generate the authentication token. The username and password are only used to generate an authentication token and are not stored. You will need to generate an API account – see https://docs.oracle.com/en/industries/food-beverage/back-office/20.1/biapi/obtain_acct_info.html for more information.

Once you click on Authenticate a configuration will be created. Please see editing configuration for more information about editing a configuration, and what settings need to be applied.

Editing a configuration

To edit a configuration, select Config from the menu on the left. Here you can change the name of the config, change the brands associated with the config, configure the units and sales fields, and view the URLs.

Brands

Selecting a set of brands from the list will change list of locations that can be linked to include all active locations from that brand. In a franchise environment this will include locations from a franchisee account.

Sales and Units Field

It is possible to configure what the sales and unit's fields are pulling data from. Select the appropriate options from the drop-down list.

Linking Locations

To link locations in WFM to locations from Oracle Hospitality select locations from the menu on the left. You will see a list of locations from WFM on the left and a search box to find a location from Oracle Hospitality. If the location from Oracle Hospitality isn’t in the search list, click “Reload Locations” to update the list of linkable locations.

If a location is linked incorrectly, it can be unlinked by clicking unlink next to the link option.

Importing Guest Checks

If a location has just been linked and has historical data in Oracle Hospitality that needs to be imported into WFM it is possible to trigger a refetch of data that wasn’t captured by the automatic import task.

To re-import guest checks, select “Import Guest Checks” from the menu on the left. Choose the start and finish dates of the period you will be fetching and choose the locations to refetch. This will place a task into the processing queue to start the fetch and will update the sales and units in WFM when this completes.

It is worth noting that in a franchise environment, a franchisee can only access the “Import Guest Checks” option and only for locations that are available in the WFM account.
