Importing Project Actuals (Ongoing Task)

After you've created and approved projects in EPM Planning Projects, and exported projects and budgets to Project Management, the project manager prepares a detailed budget in Project Management that is optionally validated against the strategic budget. As projects are executed, actual costs are collected in Project Management.

When actuals are ready in Project Management, import the actuals data to EPM Planning Projects.

Administrators can use the Import Project Actuals job on an ongoing basis to import project actuals from Project Management to EPM Planning Projects, and can schedule the job to run on a regular basis.

Only administrators can run and schedule jobs. Alternatively, planners can use the Data Integration integrations to import actuals. For instructions for planners to import actuals, see Importing Actuals Data from Project Management to EPM Planning Projects in Working with Planning Modules.

Using a job simplifies the process. When you run the job Import Project Actuals, the following tasks are performed as part of the job:

  • Import Project Actuals
  • Calculate Imported Projects

Additionally, you can use substitution variables for the date range, simplifying scheduling this job to run on a regular basis. When you use substitution variables, you don't need to regularly update the job definitions to use the latest date range for actuals; instead you update the value for the substitution variable.

To import actuals from Project Management to EPM Planning Projects:

  1. From the Home page, click Application and then click Jobs.
  2. Click Schedule Jobs, and then click Import Project Actuals.
  3. Click Run Now, or specify options to schedule the job and then click Next.

    The job is prepopulated with the information from Data Integration for the integrations you set up when you enabled Project Management Cloud Integration. The list for Integration Job Name (Project Actuals) includes all the integrations defined for all Project Management calendars. Scenario, Version, and Entity are populated, but you can change them.

    By default, start and end periods use substitution variables.

  4. Select the integration job name for Integration Job Name (Project Actuals).

    Note:

    If there are multiple calendars in Project Management, there are multiple integrations available for Integration Job Name (Project Actuals), each prefaced with a different name and associated with a different business unit. Run the integrations that are needed for your implementation.
  5. If needed, change the selections for Scenario, Version, and Entity, and then click Next.

    You can also change the start and end periods if you are running a job now. If you are scheduling a job, you can use the substitution variables to simplify running this job for varying time periods.

    The entity values you select here are used as input in the Calculate Imported Projects rule. (The entity values are not passed on to Project Management to fetch the values corresponding to that business unit. You set the filter to get data for a Project Management business unit in Data Integration.)

  6. Review the job details, and then click Finish.
