Automatically Sync Dates Between Financial Project Plans and Work Plans

If the project application administrator has enabled the Automatically Sync Dates Between Financial Project Plans and Work Plans feature, you can manage planned financial task dates (Planned Start Date and Planned Finish Date for tasks) from either of the following and automatically sync the date changes in both:
  • Financial project plan
  • Work plan

Automatically syncing the planned financial date changes in both the plans:

  • Enables better collaboration between the project manager and the project administrator by providing the same and consistent task schedule. For example, project administrator's updates in financial tasks are automatically available for the project manager’s review in the work plan.
  • Validates the dates in real time in managing project plans. For example, when the transaction and planned dates are synced, you can only change the task planned dates to the dates valid for the task’s expenditure items.

Prerequisite

Ensure that the Project Application Administrator has enabled the Define Common Financial Task Dates Across Work and Financial Planning option. Once this option is enabled, the financial project plans and the corresponding work plans you create have common dates and automatically sync the date changes. The application doesn't automatically start syncing dates for the plans that exist at the time of enabling the option. For such plans, you need to once sync the task dates manually.

If you create a new task from the Manage Project Plan page, dates default from their immediate summary task. As you start managing a financial project in the Manage Project Plan page, the application automatically enables the rollup task planned dates setting. Set up automatic syncing of financial task dates between financial project plans and work plans

To set up automatic syncing of financial task dates between financial project plans and work plans, do the following:

Copy Planned Dates in Financial Tasks from Financial Project Plan to Work Plan

The Project Application Administrator can perform this action.

After you have enabled the Define Common Financial Task Dates Across Work and Financial Planning, for the existing financial project plans and work plans, you need to once sync the dates manually. Thereafter, the dates start syncing between the two plans automatically.

To sync dates from Financial Project Plan to the corresponding work plan:

  1. Click Navigator > Tools > Scheduled Processes.

  2. Click Schedule New Process.

  3. Search for the Copy Financial Task Dates from Financial Project Plan to Work Plan process and select it.

  4. In the Process Details dialog, enter the following values:

    Field Value
    Select By Project Number
    From Type the name of the project from which you want to copy the dates
    To Type the name of the project to which you want to copy the dates. In this process, the name of the project will be the same in From and To fields.
    Business Unit Optionally, select a business unit.
    Project Organization Optionally, select a project oganization.
    Exclude Projects Containing Nonfinancial Data To include projects containing nonfinancial tasks, constraints, dependencies, deliverables, resource assignments, and nonfinancial progress in the copy dates process, select No. To exclude this information in the copy dates process, select Yes. Default is Yes.
  5. Click Submit. Once the process complete, you can examine the report in Process Detail to see if the copy process is executed as per your requirements.

Copy Planned Financial Task Dates from Work Plan to Financial Project Plan

To sync planned dates from a work plan to the corresponding financial project plan, complete the following steps:

  1. Click Navigator > Projects > Project Management.

  2. Open the relevant project by clicking its name.

  3. Open the Actions panel tab and click Update Financial Project Plan and Progress.

  4. In the Update Financial Project Plan and Progress dialog, click OK.
