Setting Up the Plan Review Cycle Document Screening Advisor

The Plan Review Cycle Document Screening Advisor uses an AI workflow agent to screen PDF documents for permit and planning applications. When an application is accepted and requires plan review, the system automatically adds attachments to Review Cycle 1 marked For Plan Review to the cycle. A configured Business Rules Framework (BRF) rule can invoke the agent to review the documents and add the results as a comment.

You can configure rules for specific permit or planning application types. The agent runs asynchronously, so agency staff can continue working with the plan review cycle while the documents are being screened.

Let’s look at how to set up the Plan Review Cycle Document Screening Advisor:

  1. Enable AI functionality for Permits, Planning and Zoning, or both.

  2. Complete the AI Agent Studio access and security setup.

  3. Copy and publish the Plan Review Cycle Document Screening Advisor template in AI Agent Studio.

  4. Configure the applicable BRF event and add a Call workflow agent action.

Enabling AI Functionality

  1. Navigate to Setup and Maintenance > Offering: Permits or Planning and Zoning > Change Feature Opt In.

  2. Select the pencil icon in the Features column for the applicable offering.

  3. Select the Enable checkbox for "Enable AI Functionality for Permits" (or Planning and Zoning).

  4. Select Done.

If AI functionality is already enabled for an offering, you can skip these steps.

Setting Up Security for AI Agents

Complete the steps outlined in How do I use AI Agent Studio? , "Access Requirements for AI Agent Studio", Provide Access to Configure AI Agents in Oracle Permitting and Licensing on the Oracle Help Center. (You can skip this step if this has already been configured.)

Copying and Publishing the Agent Template

Once you have enabled the AI functionality, you will need to copy the template of the delivered AI Agent "Plan Review Cycle Document Screening Advisor" in the AI Agent Studio.

Configuring the Business Rules Framework Event

  1. Navigate to Business Rules Framework and select Permits.

  2. Open the Permit Application Accepted and Requires Plan Reviews event.

  3. Create a business rule and add criteria for the permit application types that should invoke the agent.

  4. In Actions, select Call workflow agent.

  5. Click configure and select your published copy of the Plan Review Cycle Document Screening Advisor agent.

  6. Save and activate the rule.

  7. Repeat these steps for the Planning Application event, Planning Application Accepted and Requires Plan Review.

Only applications that meet the rule criteria invoke the agent.

Note:

The agent doesn't process PDFs larger than 25 MB. It runs only for automatically created Cycle 1 and doesn't rerun for later cycles or newly added documents. If no attachments exist, BRF and the agent aren't invoked.
