Certifications in Benefits Summary
Welcome to this 25A demo, I will be showing you how to complete pending actions that require certifications within the new Redwood Benefits Summary page in HCM Cloud Benefits. This new feature brings certifications to the Redwood designed pending actions region within the benefits summary page. Administrators require quick and efficient access to tools that support employees in all benefit-related areas. This often includes managing critical tasks like approving evidence of insurability, enrollment or dependent certifications.
Enabling the Redwood design enhances administrative efficiency, reduces processing time and minimizers errors in managing employee benefits. I have navigated to the Benefits Summary Page from my client groups and searched for an employee. Notice one of the first items seen on the new Redwood page is the pending actions area. Here I can quickly see any pending actions that might need my attention. All tasks associated with pending actions are in this one area, I am going to focus on those pending actions that require evidence of insurability or a dependent certification. Each pending action will display the information pertaining to that pending action such as the type, the plan name and option. If this is a dependent cert it will have the dependents name, it will show the status, in this case suspended, and a due date will be displayed.
If the employee uploaded documents during the enrollment process it will have an uploaded on date and it will have a badge dating pending approval the document will be a hyper-link.
Let’s start by looking at a proof of good health pending action for the employee’s life insurance.
I will click on the edit icon which will open up a drawer.
Here I have the option to approve or I can reject a pending action.
I might reject this pending action because the employee did not meet the health requirements for the additional insurance. To reject I will enter the deny date, and I might enter comments such as “You are not eligible for this coverage increase.”
I will upload supporting document explaining why this employee is not eligible for the increase. And then I will select rejected and in the rejection reason list of values and I will select the appropriate reason.
Clicking on save will remove the suspended enrollments, making the interim coverage as the employee’s primary life insurance coverage.
Now if the employee passed their health requirements then I would enter the received date. I could enter in comments and I will upload the supporting documents showing they have been approved. I will click on approved.
And clicking on saved will remove the interim coverage making the suspended enrollments active.
Returning to the benefits summary page I can see the pending action has been moved to the completed area with an approved badge.
Now let’s look at the dependent certification.
The employee has uploaded a document for the spouse and we have a pending approval badge. They did not uploaded a document for the child so there is no badge listed here.
For those pending actions with uploaded documents, I can click on the edit icon or I can click on the document hyper-link: either will open a drawer.
Because this employee uploaded documentation I can download it to view and make sure it is correct. But what do you do if they have supplied you with the incorrect documents.
You can reject this pending action by clicking on reject.
And then select the correct rejection reason from the list of values.
Because this is a dependent certification it will not have a deny date. When you reject the pending action it will only de-link the document to the pending action. This will allows the employee to upload another document.
In the comments here I can ask them to supply the correct documents, like supply the last years W2 information. If you have the alert for documents approved and rejected setup, your employees will be notified when you click on save.
You can also reach out to the employee and have them upload the correct document or if they cannot supply the correct documents, you would need to manually adjust their enrollments.
Now If the documents the employee uploaded are correct then you will enter the received date. You can enter comments, then click on approved.
Clicking on save will end the interim coverage and start the suspended coverage. And if you have the alert for documents approved and rejected setup, your employees will be notified.
Returning to the benefits summary page under the completed area, I can see that my pending action now shows as approved. Let’s clicking on pending, and I can see this dependent is also enrolled in dental plan, I can see that the document was approved and the date and it has an approved badge but I need to enter in the received date. I will click on the edit icon, which will open up a drawer and enter in my received date. I can see that the approved is already checked. So I will click on save and this will move this completed action to the completed area.
My final example is that employee has emailed us the birth certificate for the child. I will click on the edit icon. I will enter our received date, and then I upload the document given to me by the employee.
I will select approved.
And I will click save which will move this pending action to the completed area.
Once I have completed all of my pending actions I will see the note “You’re up to date on your tasks.”
A couple of additional notes, If the employee never supplies the documents for their dependents you will need to manually adjust those enrollments. Also, if you do not have the certification types added to the document upload train stop in the program or plan, you will not be required to upload a document.
The new Redwood benefits certifications are delivered enabled when you set the ORA_BEN_ADMINISTRATIVE_ENROLLMENT_REDWOOD_ENABLED profile value to Y at the site level.
