Perform Mass Item Attribute Changes Using Guided Tasks
Today, I will be going over performing mass item attribute changes using guided tasks. In this feature, users can use guided tasks to perform a mass change of item attributes using the predefined process from the Guided Task Library. This feature helps businesses by allowing users to have control over the steps of updating item attributes. The guided task flow has all the steps, so users can perform the mass item attribute changes seamlessly.
The configure tool also sets guardrails for users to run the guided task flow. For example, it can restrict items to be changed for a single organization. With the help of the exported Excel spreadsheet at the end of the flow, this feature will help make the mass change of item attributes easier and more streamlined. I will now be going into the demo.
In this feature, the user will be able to change the attributes for a large set of items. To do this, go to the task panel and click Configure Guided Tasks. From here, click Create, where you will provide all the details for the guided task you're creating. After adding all the details, click Create Draft. This will open the Guided Task Draft page. In this example, the guided task name is Capacitor Test. Scroll down to the Configure Criteria section where users can specify the attributes and its values, as shown here.
Once done with configuring the criteria, the user can go ahead and edit the tasks. "Search items," "Review and submit," and "View change order status" are tasks available by default. But if required, click the Add button to add more tasks. After you've configured the guided task, click Activate on the top right corner of the Task Draft page to publish it.
Once the task is published, users can go through the flow on the Perform Guided Tasks page. To access that page, go back to the task panel and click Perform Guided Tasks. As shown on the screen, the capacitor test-guided task that was created earlier has now been published and is ready to run. Click Start Guided Task to begin the first step.
In this task, you can search for the items you want to update using the search text box. In this example, I searched for capacitors and selected these three items. Once you've selected these items, you can move on to the next step of reviewing and submitting the item attributes to be edited. To see the mass update summary, click the review and submit task. Review the information and click Done.
The task flow is automatically updated and will simultaneously export the items you've selected to an Excel spreadsheet. You can then open the Excel spreadsheet to edit any information about the items you chose. I'll change the item descriptions for these items. Now that I'm done with my edits, I can validate the data. To do this, go to the Add-ins tab and click Validate. This will validate the data that you've changed.
Once the data has been validated, click Upload Data. This uploads the updated data back to the guided task. To check the order status, go back to the Guided Task page. Click on "View change order status" and select the batch name. Click the Refresh button to see the job status. When the job status changes to Completed, you will have successfully finished the guided task flow. Today I went through the basic functions of using the guided task feature.
