Submit Data when Flex Forms Contain Invalid Members

In flex forms, you can now submit data even when there are invalid members on the sheet by using the Submit Data Without Refresh action on the provider ribbon.

To use the Submit Data Without Refresh option on flex forms containing invalid members, the Service Administrator or form designer must select the Show invalid members for flex form option during form design.

To submit data on a flex form containing invalid members, from the provider ribbon (for example, the Planning ribbon), select Submit Data, then Submit Data Without Refresh. Note that the Submit Data action will appear grayed out or disabled on the ribbon. Select the down arrow next to Submit Data to view the drop-down menu and see that the Submit Data Without Refresh option is enabled.

Any changed data cells (dirty cells) are submitted, while any invalid members are retained for review and correction. Data cells in invalid rows or columns will display #InvalidMember upon performing the Submit Data Without Refresh.

In this example, the Show invalid members for flex form option is enabled for the form.

In the following figure, row 8, for the member, "Trips," data is entered for July, August, and September in cells B8, C8, and D8. The cells are dirty and ready to be submitted.

In row 9, a member name is entered, "9801." This is not a valid member name.

The Submit Data option in the Planning ribbon appears grayed out, but clicking the down arrow, note that the Submit Data Without Refresh option is enabled.

By selecting the Submit Data Without Refresh option, the dirty cells are submitted and the user verify whether the member 9801 is correct. The following figure shows the result of the submit. The data values in row 8 for the "Trips" member show the changed values. The member "9801" in row 9 is highlighted in orange, and the data cells for the row contain the #InvalidMember notation.

The invalid member can be corrected by retyping the member name in cell A9 or using the Member Selection dialog to locate the correct member.

In this example, the Show invalid members for flex form option is unchecked for the form.

The same changes are made to the sheet as in the previous example.

Now, when attempting to use the Submit Data Without Refresh action, a message informs the user that the sheet contains invalid members and must be refreshed.

After refreshing the sheet, however, the user will lose all the data changes made in cells B8, B9, and B10, and the member added in cell A9, as shown in the following figure:

The user may reenter data and use the Member Selection dialog to choose the correct members, rather than hand-typing. But enabling the Show invalid members for flex form will save steps and alert the user to the invalid members they may have typed on the sheet.

Business Benefit: Support for the Submit Data Without Refresh option on flex forms containing invalid members allows users quickly submit data without losing their work during a refresh.

Steps to Enable

To enable support for submitting data on a flex form that contains invalid members, a Service Administrator performs these steps from the EPM Cloud web interface:

  1. From the Navigator, under Create and Manage, click Forms.
  1. Select an existing form to edit or, in the Form and Ad Hoc Grid Management page, click the Actions drop-down menu and click Create Simple form.
  1. In the form definition page,  under Smart View Options in the Layout tab, select the Enable flex form for rows and Enable flex form for columns check boxes, as you require. You may select one or both of these options.
  1. Select the Show invalid members for flex form check box. This option is displayed only when a row or column flex option is selected, as described in the previous step.
  1. Optionally, for individual rows or columns, in Dimension Properties, enable the Flex beyond form definition option, as you require.
  1. Save the form.

Tips And Considerations

  • Support for using Submit Data Without Refresh to submit data on a flex form containing invalid members requires, at a minimum, Oracle Smart View for Office 24.200 and Oracle Enterprise Performance Management Cloud 24.10.
  • If the Show invalid members for flex form option is unchecked for the form, and you have added invalid members to the flex form, then a message is displayed informing you that there are invalid members present on the sheet, and that you must first refresh the sheet. However, refreshing the sheet will cause you to lose any changes you have made in the flex form.
