Change Hire Date: Payroll Calculation Entries

You can now change the hire date backward when an employee has a Time and Absence card entry with the element creation date later than the hire date.

  • When the hire date changes to a backward date, the calculation entries are deleted from the Payroll calculation card. However, this data will be available after running the Evaluate Absence scheduled process. This data will always be available in the Absence application.

  • When the hire date is moved to a forward date, the Absence and Timecard calculation entries with the creation date earlier than the new hire date, will be deleted from the Payroll and Absence applications.

NOTE: You aren't impacted by this change if you import absence and time from a third-party system using standard element entries.

For example, an employee is hired on 22 January 2024 and has an absence that has a start date of 22 January 2024, and an end date of 28 January 2024. When the hire date is changed to 29 January 2024, the time entries prior to 29 January 2024 are deleted from the Payroll application.

Here’s how this feature works in the Absence application:

  • All absences that are before the new hire date or spanning the new hire date will be deleted.

  • Absences that are after the new hire date will be marked for reevaluation.

  • Absences that are marked for reevaluation (processing status = unprocessed) will have only header. The absence type entries data, plan entries, and Payroll calculation card entries will be deleted. Later, when the Evaluate Absence scheduled process picks up these absences, the corresponding entries will be created.

Change the new hire date of an employee irrespective of the component definition start date.
