Improved Self-Service Experience for Offerings at Capacity

Handling of over-capacity offerings without a waitlist has multiple enhancements. To start, here's what happens now for managers when an offering reaches its capacity and the Allow joining the waitlist from self-service option isn't enabled: 

  • You won't see the Assign Learning To My Team action on the offering details page. You will see a Seats Available value of 0.
  • You can assign the course to a team member, but will see the No offerings are currently available message below the course in the assignment.

When you assign learning to multiple learners and the capacity is reached during the assignment processing, the assignment won't add learners to the waitlist. The assignment also won't process the learners who exceed the capacity. During the assignment, you will see information text under the offering indicating the number of available seats and the absence of a waitlist.

Learners who click Enroll on the offering details page after the capacity was reached won't be added to the waitlist. Instead, a banner message informs the learner that they weren't enrolled in the offering and that they need to select another offering.

Learners who were part of the assignment selection but weren't enrolled due to there being no waitlist and no available seats, appear on the Search Skipped Assignments tab with the Offering at capacity, waitlist not allowed reason code.

These enhancements reduce administrative burden because learners and managers better understand capacity and waitlist management.

Tips And Considerations

  • These enhancements apply only when an offering has capacity rules enabled, a maximum capacity set, and the Allow joining the waitlist from self-service option deselected.
  • The Allow joining the waitlist from self-service option applies to only learners and managers. Learning administrators can still add to the waitlist, even when capacity rules are enabled and a maximum capacity is set.
