Multiple Transmitter Representative Identifiers for the T4 and T4A
This feature enables the configuration and use of multiple transmitter representative identifiers for T4 and T4A year-end reporting by allowing users to override the Transmitter Representative Identifier defined for the transmitter’s Tax Reporting Unit (TRU).
Some employers require different transmitter representative identifiers based on payroll relationship groups or TRUs.
To support this functionality, two new items were introduced:
- New extensible common lookup
- New parameter for the End-of-Year Reports process
Extensible Common Lookup
The new extensible common lookup details are below. Use this lookup to add the transmitter representative identifiers that your business requires. Once configured, this list of transmitter representative IDs is available for selection in the End-of-Year Reports process.

End-of-Year Reports Process Parameter
A new parameter, Transmitter Representative Identifier, was added to the End-of-Year Reports process. Use this parameter to override the default transmitter representative ID configured at the TRU. This parameter is only applicable for the T4 and T4A.

This enhancement provides greater flexibility by supporting employers who manage year-end reporting through multiple representatives.
Steps to Enable
If required, to override the default Transmitter Representative Identifier configured at the TRU, add the transmitter representative identifiers to the new lookup using these steps:
- Navigate to Setup and Maintenance and select the Tasks menu.
- Click Search, and search for Manage Common Lookups.
- Search for Lookup Type = ORA_CA_EOY_TRANS_REP_INFO.
- Under Lookup Codes, click New and add the lookup code details:
- Lookup Code: Enter an alphanumeric representative identifier. This grants the representative associated with this ID access to the submitted T4 or T4A return.
- Display Sequence: Enter a number to specify the order of appearance in the parameter’s list of values.
- Enabled: Check this box to make the ID visible in the parameter’s list of values.
- Start and End Dates: Optionally enter start and end dates.
Note: If specified, only records active as of December 31 of the reporting year are available for selection.

- Meaning: Enter the representative’s name or description.
- Click Save and Close.

Tips And Considerations
Note the following tips and considerations for the Transmitter Representative Identifier:
- The lookup is only visible when the Report Type selected is T4 or T4A.
- Only the lookup codes that are enabled are displayed.
- If dates are populated on the Lookup Codes configuration, only the lookup codes that are active (as of Dec 31 of the reporting year) for the start and end date are displayed.
- Configuration of the Transmitter Representative Identifier is optional.
- Configuring and using the new parameter is not necessary if you only need one transmitter representative, or none at all.
- If the parameter is not specified when running the End-of-Year Reports process, the process will use the Transmitter Representative Identifier (if one exists) defined in the Legal Reporting Unit’s interface rules for the T4 and T4A. This is the default.
