You can now use HCM Data Loader (HDL) DocumentsOfRecordArchive Business Object (BO) to archive, unarchive, and purge document records based on complex criteria aligned with your organization’s document retention policies.

Previously, archiving actions through the Redwood Document Type UI were limited to a few attributes (Creation Date, From Date, Issued On, and To Date). You can now define and execute your own archiving policies, rather than relying solely on configurations at the document type level. 

With this enhancement, you can now leverage a custom report and this HDL enhancement to manage document record lifecycles by using a broader range of conditions:

  • After specific business events or timeframes, for example, archive 2 years after an employee is terminated.

  • Based on custom policies, for example, archive 3 years after the end of the tax year in which the maternity period ends.

  • By region or business unit, even if the same Document Type is used globally, for example, differing archival periods based on country-specific data retention policies.

You can build a custom report either through BI Publisher, data extract, and so on, to fetch all document records based on your conditions. You can have the report generate output in a HDL format and use the HDL style output as input to your .dat file in HDL accordingly. 

This enhancement gives your organization greater flexibility in maintaining clean, compliant, and streamlined document records.
