Increased Monitoring Support with Fund Eligibility Reporting

Two new reports have been developed that enable you to view comprehensive eligibility and ineligibility criteria for funding associated with a specific student's enrollment, package version, and academic year.  With this reporting you can run the report for different package versions allowing you the ability to identify the reasons behind changes in fund eligibility status, such as a fund transitioning from eligible to ineligible or vice versa.  These reports mimic the "Fund Eligibility Eye" located on the packaging UI.  The output for each fund will differ based on the eligibility criteria for that specific fund code.  

Report Names:

  • Fund Eligibility Report
  • Fund Ineligibility Report

Navigation to Reports:

  • BI Publisher > Catalog > Shared Folders > SFP Reports > Product Reports > Monitoring

Suggested Monitoring Frequency:

  • We recommend running these reports whenever you feel there is a potential issue with eligibility for a fund

Run parameters:

  • School Student ID (Required)
  • Enrollment ID (Required) - If you do not know how to find the Enrollment ID you can use two different methods:
    • In the Admin UI navigate to the Enrollment Information page within the Student dropdown
    • Run the Enrollment Data Report for the student to find all Enrollment IDs associated to the student
  • Package Version (Required)
  • Academic Year Number (Required)
  • Fund Code (Optional) - This is a multi-select drop down.  You can choose to pick all funds, multiple funds, or only the fund you are interested in viewing.

Recommended Actions:

  • When triaging possible eligibility issues we suggest the report be run twice
    • If you notice a shift in eligibility from one package version to the next, you should run this report for both the packaging version where the issues exists and the most recent packaging version where the issue does not exist to compare eligibility outputs
    • If the issue is due to terms overlapping in multiple enrollments, you should run this report for the desired Academic Year and Package Version in the prior enrollment and the desired Academic Year and Package Version in the current enrollment to compare differences in eligibility.

These reports will aid in triaging potential issues with fund eligibility.
