Manage Attachments for Inbound Loads and Cycle Count Adjustments

We’ve extended our capability to manage attachments in WMS to Inbound Load UI, enabling users to upload pictures of the contents of the trailer, or ASNs, POs and other documents related to the inbound load.   We’ve also extended this capability to Cycle Count Adjustment UI using which users can now upload approval emails, location/item pictures related to the approval or rejection of a CC adjustment. We’ve also enhanced managing attachment to Outbound Load UI via an additional key.

INBOUND (IB) LOAD UI 

A new action button “Upload Attachment” is introduced in the Inbound (IB) Load UI. The button is enabled only if the user has the Load/Upload Files Permission.

NOTE: You can upload attachments only for one IB Load at a time.  Also the IB Load should not be in a cancelled status.

Users can click “Upload Attachments” button, a pop-up window opens allowing to browse and upload your files.

NOTE:

  • The attachments uploaded are verified through antivirus scanning.
  • For optimal performance, the total size of all attachments uploaded in a single attempt is limited to 10 MB.
  • Attachments of the following file types are supported: jpg, jpeg, png, doc, docx, xls, xlsx and pdf.

Each attachment that is successfully uploaded to WMS is tagged with the following keys that can be used as a search criteria in the Attachments UI.

VIEW AND DELETE ATTACHMENT

A new field "Nbr Attachments" is introduced in the IB Load UI. This field displays the number of attachments uploaded to WMS for the relevant IB Load . The value appears as a hyperlink if greater than 0 and when user clicks the hyperlink, a child UI called "Nbr Attachments" is displayed with all the attachments uploaded for the selected IB Load.

You can choose to download the attachment or click (X) to delete the attachment. Any attachment that is an image (*.png, *.jpg, *.jpeg) is displayed as a hyperlink, and  can be used to preview the image without downloading.

NOTE: The delete icon is enabled only if user has “container/Delete Files” permission.

CC ADJUSTMENT ATTACHMENTS

WMS provides an option to approve/reject a cycle count adjustment or request a recount of the location where the user (supervisor) can provide their comments against each adjustment.

Now, we have enhanced our system with an ability to upload, view, or delete attachments such as approval emails, pictures or other documents along with the approval or rejection of the adjustment. To utilize this feature, a new screen parameter "capture-attachments" is introduced to the CCAdjustmentHdrView module with the following parameter choices:

  1. Capture CC AttachmentsYou can choose this option if you need to upload attachments for some adjustments but not for others. On choosing a single record to approve or reject, the user will be prompted with a confirmation message “Do you want to upload attachment(s)?" with Yes and No as option:

The Upload Attachment pop-up window opens up only if user selects, Yes. However if the user closes the pop-up without uploading any attachment, the approval or rejection process does not go through.

NOTE: If multiple records are selected for approval or rejection, the system displays an error message  "Cannot upload attachment(s) for multiple records, please select 1 record at a time".

  1. Do Not Capture CC Attachments – If you do not wish to upload attachments during approval or rejection of any adjustment, you can leave the parameter blank or configure with this option.
  2. Capture CC Attachments Mandatory – Customers can choose this option if operations mandates uploading the attachments for the approval or rejection of every adjustment. Therefore, on choosing a single record to approve or reject, the Upload Attachment pop-up window is prompted.  However, if the user closes the pop-up without uploading any attachment, the approval or rejection is not processed and selected record remains untouched. 

NOTE: If multiple records are selected for approval or rejection, the upload attachment pop-up is not displays and an error message "Cannot upload attachment(s) for multiple records, please select 1 record at a time"  is displayed.

KEY NOTES 

  • If both "capture-comments" and "capture-attachments" are enabled, then the upload attachment option takes precedence, then followed by comments.
  • If both "capture-comments" and "capture-attachments" are enabled, and after uploading attachment, if the user’s hits cancel on the Comments pop-up instead of Submit, then attachments that have already been uploaded for the CC record will NOT automatically be revoked by WMS.  If required, the attachments need to be manually deleted from the "Nbr Attachments" child screen.
  • If upload attachment fails due to any reason, the approval or rejection will not process, and the selected record will remain untouched. 

UPLOAD ATTACHMENT IN CYCLE COUNT ADJUSTMENT 

The upload process through CC Adjustments UI is similar to IB Load and goes through the same validations as described under IB Load

Each attachment that is successfully uploaded to WMS is tagged with the following keys that can be used as a search criteria in the Attachments UI.

ccgrpnbr Mandatory – Every attachment will be tagged with this key (Represents the group nbr of the CC Adjustment).
task Optional – Attachments will be tagged with this key only if available at the time of uploading (If the Cycle Count was task driven).

The view and delete process through CC Adjustments UI is similar to IB Load

NOTE: The delete icon on the “Nbr Attachments” child screen of CC Adjustment UI is enabled only if the user has "location/Delete CC Adjustment Attachments" permission.

ADDITIONAL ATTACHMENT KEY FOR OUTBOUND LOAD 

Each attachment that is successfully uploaded to WMS from OB Load UI is currently tagged with the following keys that can be used as a search criteria in the Attachments UI.
