Add Ad-hoc Bill Lines

You can now create ad-hoc bill lines using a new action Add Ad-hoc Bill Lines in the Billing Summary UI. This action will allow you to add a bill line with a positive or a negative amount to the billing summary. You can specify a charge name, the billing period, invoice date and interface date for this bill line.

  1. Error Correction - Sometimes errors occur when invoicing Professional Services (e.g., incorrect bill rate or hours, wrong bill-to), Any corrections can be created as an ad-hoc bill line. 
  2. Error in pricing or terms: If a mistake was made in the initial contract pricing or terms, a correction can be issues by creating an ad-hoc bill line.
  3. Late Fees: If the subscriber fails to make a payment on time and there is no systematic late fees collection business process then a late fee might be applied as an ad-hoc bill line.
  4. Regulatory or Compliance Costs: If there are new regulatory requirements or compliance standards that require additional resources or investments from the service provider, ad-hoc charges may be passed on to subscribers.
  5. Miscellaneous Charges: Any other unforeseen costs, such as administrative fees, processing fees, or other miscellaneous expenses related to the subscription service, could be applied as ad-hoc bill lines.
  6. Collect payments from customers for goods or services that are not normally included as a part of their subscription but billed with the subscription.

Steps to Enable

You don't need to do anything to enable this feature.

Tips And Considerations

  1. The privilege Allowed to add ad-hoc bill lines should be assigned to the custom roles to be able to add ad-hoc bill lines.
  2. The privilege is added to the Subscription Specialist role.
  3. The bill line amount can be positive or negative.
  4. The ad-hoc bill line is created as a new revenue document with negative standalone selling price (SSP), if the bill line amount is negative. Revenue Management Cloud will not accept a negative SSP. Customers are expected to modify the SSP using service mapper. Since the SSP cannot be determined, customers can set the SSP as per their business need.
  5. Even on Full Credit the ad-hoc bill line is not dropped or credited. User is expected to manually decide if these bill lines have to be credited.
  6. The bill from and bill to date for the ad-hoc bill line should be within the subscription product start and end date.
