Distribute Project Costs on Requisitions Using Award Funding Patterns

You can now distribute project costs for a requisition that references award-based projects with predefined funding patterns in the Redwood Self Service Procurement application. Funding patterns are created and maintained by Grant Administrators. The funding patterns are created once the project is funded by one or more award and funding sources.

On the shopping cart, when you click the Distribute Project Costs button, if the the Contract Number and Funding Source fields are left blank, project costs captured on requisitions will be distributed using applicable funding patterns. If the distributions don't reference an award-based project or there aren't predefined funding patterns, you must manually populate the Contract Number and Funding Source fields.

You can view the consolidated outcome of the cost distribution using the View results link or you can also check individual line distributions to verify the values.

If the process couldn't distribute the costs, on viewing results you can check the causes of the failure. You can correct the error and run the process again to distribute costs.

If you try to submit the requisition with blank values of Contract Number and Funding Source fields, you will see an error. You can either manually provide the values or perform automatic distribution before reattempting the submit operation.

Apart from this feature, the following enhancements have been made to the Project attributes behavior on all pages that show the Project Costing section: 

  • The Contract Number and Funding Source attributes are now hidden for all projects. To show these attributes for sponsored projects, you must have the Get Project Setups (PJF_GET_PROJECT_SETUPS_PRIV) privilege.
  • These attributes will be defaulted if they have a single valid value for a given set data based on the value sets definition: 
    • Task 
    • Expenditure Type 
    • Expenditure Organization
    • Contract Number
    • Funding Source

Using this feature, you can reduce the complexity associated with manually splitting distributions at cost capture and increase the accuracy of meeting the obligations associated with awards from both external and internal funding sources.

Steps to Enable

Use the Opt In UI to enable this feature. For instructions, refer to the Optional Uptake of New Features section of this document.

Offering: Procurement

If you want to use the Distribute Project Costs Using Award Funding Patterns feature, then you must opt in to one or both of these features:

  • Enable the Redwood Version as the Default Self Service Procurement Application: Makes the Purchase Requisitions (New) work area available to all your users, and hides the Purchase Requisitions work area from all your users.
  • Procure Goods and Services Using the Redwood Self Service Procurement Application: Keeps the Purchase Requisitions work area available to all your users, and makes the Purchase Requisitions (New) work area available to the users who are assigned this privilege: Manage Requisition with the Redwood Self Service Procurement Application (POR_MANAGE_REQ_WITH_PWA_PRIV).

If you’ve already opted in, then you don’t have to opt in again.

Users who are assigned a configured job role that contains these privileges can access this feature:

  • Distribute Award Project Costs and Quantities (PJC_DISTRIBUTE_AWARD_PROJECT_COSTS_AND_QUANTITIES_PRIV) to distribute project costs. 
  • Manage Requisition with the Redwood Self Service Procurement Application (POR_MANAGE_REQ_WITH_PWA_PRIV) to access the Redwood Self Service Procurement application.

This privilege isn’t required if you have opted in to the Enable the Redwood Version as the Default Self Service Procurement Application feature to access the Redwood Self Service Procurement application.

These privileges were available prior to this update.
