Adjust A Credit Balance

If the student or parent does not cash a Credit Balance check within 180 days, the institution can Adjust the Credit Balance.

Required Role Permissions

The user must have a role with the following General Permission(s) through Roles Management in order to complete the manual processing steps listed below.

  • Credit Balance Modifier
    • Can modify the credit balance amount, recipient, and date at any point
  • Credit Balance Not Sent Modifier
    • Can modify the credit balance amount, recipient, and date only if the credit balance event outbound message has not been sent

Manual Processing Steps

An authorized user can modify the Credit Balance Amount (up to the unapplied amount associated to the payment) per fund source, per disbursement and add comments as to why the credit balance is being manually adjusted.

Log into the Student Financial Planning User Interface (UI)

  1. Enter the students name, external student ID number or social security number in the search field located in the upper right hand corner
    • Because Student Financial Planning returns results for any data entered, the student search can be based on complete or partial information
    • Select the Student Record from the Student Search Results pop-out dialogue box
  2. Hover over the Financial Aid Tab
  3. Click Credit Balance
  4. Click Credit Balance (default view)
  5. Review editable fields available for update
    • Credit Balance Amount
      1. Credit Balance Created On (date)
      2. Status Effective As Of (date)
      3. Recipient
  6. Click Save
  7. Add Comment
  8. Click Save Comments
  9. Click Close
Note: Student Financial Planning saves this information along with the existing Credit Balance ID associated to the Payment ID.
