Coursework Substantially Similar

Overview

When a student changes programs, if any condition is not met, the enrollment type updates to Change of Program Within New Academic Year. Below are the steps to review the student record for the third condition, The coursework in the payment period the student is transferring out of is substantially similar to the coursework the student will be taking when he or she first transfers into the new program.

Required Role Permissions

The user must have a role with the following General Permission(s) through Roles Management in order to complete the manual processing steps listed below.

Manual Processing Steps

Log into the Student Financial Planning User Interface (UI)

  1. Enter the student's name, external student ID number or social security number in the search field located in the upper right-hand corner
    • Because Student Financial Planning returns results for any data entered, the student search can be based on complete or partial information
    • Select the Student Record from the Student Search Results pop-out dialogue box
  2. Navigate to Student > Financial Information > Packaging
  3. Click the 1st Packaging Version
    • Take Note of the Date of the 1st Packaging Version
  4. Click the Academic Year Summary
    • Take note of the 1st Course
    • Example: MHA/520
  5. Navigate to the Student History UI
    • Search by Category: Packaging
    • Review Entry Type: Student Academic and Financial Information message received for the student
    • Find the 1st Active “F” SAFI for the New Program (MHA/INF)
    • Compare Dates: Compare the Date of the 1st Packaging Version and the Date of 1st F SAFI Student History message
  6. Find the W SAFI for the Prior Enrollment (MHA/GER) in the Student History
    • Should be just above the F SAFI for the new program
  7. Navigate to Prior Enrollment > Student > Financial Information > Packaging
  8. Start by clicking on the Packaging version that matches the date of the 1st W SAFI
    • Make sure the packaging version trigger is for a SAFI
    • Make sure the Enrollment Status is W to ensure you are looking at the W SAFI
    • System uses the first W SAFI received and Subsequent SAFIs may not contain the same data
  9. Click the Academic Year Summary Table
    • Confirm that the first Scheduled, Enrolled or Passed course in the new program was included the prior program, in the payment period the student withdrew/transferred out of
    • Student Financial Planning uses the course equivalencies in the SAFI (visible only in the comments section of the course in the SAFI, this information is not in the UI)
      • Student Financial Planning looks at the first course and finds the equivalent courses, then checks the prior program to see if any of them are in the payment period the student withdrew/transferred out of
      • SAFI would list the equivalent courses (i.e. A, B, C courses)
      • Student Financial Planning checks for courses A, B, or C
    • If a course in the program (or any of its course equivalencies) was not included in the payment period the student withdrew from, the condition is not met.
