Credits from prior are accepted in new program

Overview

When a student changes programs, if any condition is not met, the enrollment type updates to Change of Program Within New Academic Year. Below are the steps to review the student record for the fourth condition, The credits from the payment period the student is transferring out of are accepted toward the new program.

Required Role Permissions

The user must have a role with the following General Permission(s) through Roles Management in order to complete the manual processing steps listed below.

Manual Processing Steps

Log into the Student Financial Planning User Interface (UI)

  1. Enter the student's name, external student ID number or social security number in the search field located in the upper right-hand corner
    • Because Student Financial Planning returns results for any data entered, the student search can be based on complete or partial information
    • Select the Student Record from the Student Search Results pop-out dialogue box
  2. Navigate to Original Enrollment (or prior enrollment)
  3. Navigate to Student > Student Record > Program Information
  4. Take note of all the course that was passed/completed prior to the start date of the new enrollment
  5. Navigate to Student > Financial Information > Packaging (prior enrollment)

  6. Click the Academic Year Summary table
  7. Take note of the courses in Payment Period 1 (the payment period the program change occurs in)
  8. Click the Enrollment link and choose the new enrollment
  9. Navigate to Student > Student Record > Program Information
  10. Review completed/passed courses and confirm if the completed/passed courses from prior program are in the schedule prior the new program start date
  11. Determine if all completed and passed coursework in the payment period the program change is occurring in, transfers into and is accepted as credits for the new program

    1. If yes, this criterion is Met
    2. If no, this criterion is Not Met
