Academic Levels

An academic level is a specific classification of higher education. For example, a traditional credit-bearing university might have academic levels such as undergraduate, graduate, and continuing education.

For other schools, levels might indicate a profession, such as medicine, law, dental, or professional.

Create academic levels to attach to curriculum items such as courses and programs.

Access the Academic Levels page: From Student Central, click Search and search for Academic Levels.

Full-Time Minimum Unit Load

When For credit is selected, courses and programs at this academic level can lead to a degree or other formally recognized qualification. For credit is selected by default. Enter the minimum full-time units for levels where For credit is selected.

You can also use these attributes to calculate and report Student Management usage metrics. Click Tools > Scheduled Processes > Schedule New Process. The process is Generate Cloud Usage Metrics. The Metric Name is Student Management Cloud Service - Hosted FTE Student. Only users who are Service Administrators can generate usage metrics.

Primacy

Assign a primacy value to specify the primary program for purposes such as internal and regulatory reporting and tuition calculation. A lower number indicates a higher primacy value. Let's say you assign a primacy number of 10 for undergraduate level and 20 for graduate level. A student is concurrently enrolled in a Pre-Law program (undergraduate) and a Masters of Business Administration (graduate) program. The Pre-Law program is the primary program.

Enrollment Inclusions

If enrollment is restricted to students who are assigned to a program, indicate which student academic levels can enroll in a course. Do this by creating enrollment inclusions for the course academic level. Enrollment inclusions apply only when the Requires student program check box is selected. If a program isn't required, such as for a non-degree academic level for Continuing Education, enrollment inclusions aren't relevant. In this case, enrollment in the course is open to anyone.

Here's an example:

  1. Create an academic level of Undergraduate.

  2. Select the Requires student program check box.

  3. In the Enrollment Inclusions grid, add an Academic Level of Graduate.

  4. When you create a course, attach the undergraduate academic level to the course.

A student can enroll in the undergraduate level course if both these things are true:

  • The student is assigned to a program.

  • The student has an academic level of undergraduate or graduate (the enrollment inclusion level).

Ownership

You can assign ownership of an academic level to one or more academic institutions.

You can also create and load academic levels using the Rapid Implementation process.
