Create an Internal Material Transfer Requisition (Casual User)

This example follows a scenario where a casual user is requesting an item that's stocked in inventory at a warehouse within their same organization. The user wants to enter a requisition to have the item delivered to their cubical.

Since the item is going to be delivered from an internal inventory warehouse within the requester's own organization and expensed to that user, an intraorganization expense destination transfer order is generated to deliver the item directly to the requester's cubicle.

This example has these process steps:

  1. Quick entry of internal material transfer requisition line

  2. Review approved requisition

  3. Ship transfer order

  4. Review delivered requisition and transfer order

This example assumes that all setup steps are complete.

Quick Entry of Internal Material Transfer Requisition Line

The first step in this example is to create the internal material transfer requisition line. Let's start from the Shopping page in the Purchase Requisitions work area. Sign in with privileges to create a requisition in order to perform this step.
  1. From the Purchase Requisitions work area, use the Search field to search for the item you want to order.

  2. Click the Shopping Cart icon next to the item to add it to your shopping cart with a quantity of 1.

  3. Click the Submit button. This submits the requisition for approval.

Review Approved Requisition

Once the requester submits the order from the shopping cart, it goes through approval processing. When it's approved, the application automatically creates a transfer order. The associated transfer order number posts to the requisition allowing the requester to drill into the order to view its progress.
  1. From the Purchase Requisitions work area, select a link for a recent requisition. This brings up the requisition details.

  2. Review the requisition details:

    Deliver-To Location Type

    If the item is set up as transfer order enabled, then it always defaults to Internal.

    Deliver-To Location

    Defaults from the requisition owner's preferences.

    Destination Type

    Defaults from the requisition owner's preferences.

    Source Organization

    For expense destination transfers, always defaults to the same as the destination organization.

    Distribution

    The billing distributions in the Billing section of the page default from the requisition owner's preferences.

    Order

    The Order field in the Requisition Line section of the page shows the transfer order number created for the requisition line.

  3. Click on the transfer order number in the Order field to review transfer order details. This opens the View Transfer Order page.

Ship Transfer Order

Next, the transfer order is picked and shipped in Shipping. For this example, let's assume that we've set up parameters so that the pick wave is created using the autopick and autoship features. Use the Warehouse Manager sign on for this step.
Note: In an actual production environment, you have the choice to pick and ship as individual steps, pick and then automatically ship, automatically pick and manually ship, or to automatically pick and ship as is being done in this example.
  1. From the Inventory Management work area, select Shipments from the Show Tasks section of the Task panel.

  2. Select the Create Pick Wave task.

  3. Click the Show More link.

  4. On the Demand Selection tab, enter values for the Order Type and Order fields.

  5. Clear out the values for the From Scheduled Ship Date, To Scheduled Ship Date, From Requested Date, and To Requested Date fields.

  6. Click the Options tab. Make sure that the Autoconfirm picks check box is selected and that an autoship ship confirm rule is entered in the Ship Confirm Rule field.

  7. Click the Release Now button to initiate the pick wave process.

Review Delivered Requisition and Transfer Order

In this step, let's view the delivered requisition and the shipment details associated with the transfer order. Since this example shows a process flow that requires the least amount of interaction from the requester, the intersubinventory parameters have been setup so that a receipt is not required for expense destination transfer orders. The shipping details show that the order has been shipped, and automatically received and delivered. In this case, the shipping department physically sends this directly to the requester's cubicle completing the process.

Sign back in as the requester to perform this step.

  1. From the Purchase Requisitions work area, select your requisition ID to bring up the requisition details.

  2. On the Manage Requisitions page, click the order number in the Order column to drill down to the View Transfer Order page.

  3. Review the transfer order:

    Description

    Status (header)

    The status at the header level is Closed.

    Line Status

    The line level status in the Lines section of the page is Closed.

    Fulfillment Status

    The fulfillment status is Shipped and received.

    Quantity fields

    The quantity fields on the detail line in the Lines section of the page show that the ordered item has been shipped, received, and delivered.

    Billing Details

    The Billing Details section shows that the quantity associated with the distribution has been delivered. If there were multiple distributions and only a partial quantity had been shipped, then this area would show the quantities delivered for a given distribution quantity.

  4. Click the View Shipments and Receipts button to view the details of the shipment.

  5. Click Done.
