Search for Workflows, Approvals, and History

You can use the Product Management Search interface to configure and run a search for workflows, workflow approvals and workflow history.

To navigate to the search page, go to Tasks > Product Management Experience > Search Products. On the Product Management Search page, you can select one of the following:
  • Workflow
  • Workflow Approvals
  • Workflow History

Search for Workflow

Workflow search can be used to configure and run a search for change orders, change requests, problem reports, and corrective actions. You can combine multiple keyword searches along with applied filters to complete the search. For example, you can search for:
  • all changes created within a date range.
  • all high priority changes in open status assigned to you.
  • all changes based on Customer, Supplier, Manufacturer, and Source information.
  • data presence indicators for tasks, attachments, and relationships.
  • all changes of type New Product Introduction (NPI), and change extensible flexfields of product lines.

Search for Workflow Approvals

You can search for workflow approvals that need your attention by searching for both users and roles with participant types of Approver, Optional Approver, or Reviewer. This is supported for change orders, change requests, problem reports, and corrective actions in open, interim approval and approval workflow status types.

When you've a role as a participant and Response Required From is One, use this combination of filter chips to aid your search:
If the approval task hasn't been claimed by any member of the role:
Participants Participant Role Activity Type
Role Name Role Name Approval

If the approval task has been claimed by one member of the role:

User (person who has claimed it) Role Name Approval
Here are the example use cases for Workflow Approvals search by user role:
  • Change and Quality Analyst:
    • Workflows pending approvals from a user or roles
    • High priority workflows pending approval
    • Overdue pending approvals
  • Approver or Reviewer:
    • My pending approvals
    • Workflows that need my review
  • Manager:
    • Workflows pending approvals from my group
    • High priority workflows pending approval from my group
    • Overdue pending approvals from my group

Search for Workflow History

You can search across change types to find all affected object redlines and updates made to the change header, workflow status, and other workflow entities.

For example:
  • To find all workflow edits made by a specific user, Riley Smith, between June 23, 2024, and July 2, 2024, you can filter the search results based on workflow type, author, and date.
  • To find all workflow history for a specific affected object, enter the affected object name in the search box.

Tips for Search

When you search for workflows, workflow approvals, or workflow history, you can:
  • Select any configured view.
  • Based on the configuration of the selected view, you can:
    • search by keywords.
    • apply one or more filters on the search results.
  • Show or hide columns in the search results.
  • Use the sort function to sort any column.
  • Export the selected list of workflows, workflow approvals, or workflow history.
  • You can apply filters or remove filters from filter drawer.

The Workflow Type (on the Product Management Search page) will be filtered to certain change types depending on the work area from where you launch the search; however, you can override the filter to display all change types.

Work Area Change Types Filtered To
Product Development Engineering change order, change orders without revision control, engineering change request, design change request
Product Information Management Commercialization change order
Quality Management Problem report, corrective and preventive action
Note:
  • When you select the object, it will be opened in its respective work area, regardless of the work area from which you've launched the search.
  • You can search for multiple changes by entering change numbers separated by space. For example: NPI123 ECO124 ECR156.
