Perform Guided Task Flows to Mass Assign Items to Organizations

You can use the guided task flows that belong to the guided task category called Assign Items to Organization available in the guided task library to assign multiple items to various organizations at once, including the item's structures. The administrator has created each task flow to be used in a specific business process context. For example, the task flow Mass Assign - Frozen Desserts (created by your administrator) is used to mass assign items belonging to the item class Frozen Desserts to a collection of target organizations. When running the task flow, you can further narrow down the data set of items (preselected by your administrator) and the list of organizations relevant for the specific business process context.

Each guided task flow in the Assign Items to Organization category, at the minimum, includes the following tasks:
  • Select items to be assigned
  • Select the target organizations
  • Select structures
  • Review and submit
  • View item batch status

When running the task flow, you must navigate to each task in the same order it’s listed. To complete a task, click Done for each task. However, until you complete the Review and submit task, you can revisit any of the prior tasks in the task flow and make any changes.

To run the guide task flow for mass assigning items to organizations:

  1. On the Product Management page, in the Actions panel, click View all actions and then click Guided Tasks. The Perform Guided Tasks page is displayed.
  2. Click the guided task flow that you want to run belonging to the Assign Items to Organization category, and then click Start Guided Task.
  3. Click the Select items to be assigned task, select the items you want to assign, and then click Done.
    Note: The displayed items have been already preselected by the item class (Frozen Desserts) and the master org for the items.
  4. Click the Select the target organizations task, select the target organizations to which the items must be assignment, and click Done.
    Note: The displayed list of organizations has already been preselected by your administrator.
  5. Click the Select structures task.
  6. Search and select the structures that you want to assign for the items and the select Common mode or Copy mode to assign the structure.
    Note: The structures available for assignment has been preconfigured by your administrator. Even if you don’t want to assign any structures, you must navigate to this task and click Done.
  7. Click the Review and Submit task.
  8. Review the selections and choices you’ve made. If there are no changes, click Done. This will submit the Item Import scheduled process.
    Note: To change any of your selections, click the respective task and do the changes. View the updated changes in the Review and Submit task and click Done.
  9. Click the View item batch status task.
    You can use this task to view the batch name, batch ID and the status of the scheduled process. You can click Refresh to view the progress of the scheduled process. When the Job Status changes to Succeeded, then you’ve successfully completed the Guided Task flow. If the batch fails, then you can rerun the task flow after resolving the issue.
