Add Charges to a Trade Operation

You can add landed cost charges to a trade operation from scratch or by using the Quick Create option to automatically populates common values from the setup.

Add a Charge to a Trade Operation from Scratch

  1. In the Receipt Accounting work area, select Trade Operations from the Quick actions menu.
  2. Search for the trade operation that you want to edit. Then, click the Edit icon for the trade operation.
  3. On the Charges tab, click the Add icon.
  4. Specify the relevant details for the landed cost charge that you want to add. The table describes the general information fields available on the New Charge page.

    Description

    Charge Name Select the name of the landed cost charge.

    Charge BU

    Select the requisitioning business unit for the trade operation.

    Charge Basis

    Select the level at which the charge is captured. This is used to determine how charges are calculated and distributed among different purchase and transfer orders. Charge basis options include:

    • Aggregate: The charge is the total amount. Use the Allocation Basis field to specify the allocation, such as by volume or item value.

    • Per unit: Fixed rate per unit of items. The charge is entered in the Rate field.

    • Percentage of item price: A percentage of the full item price. The charge is entered in the Rate field.

    • Percentage of other charges: Percentage of another charge in the trade operation. This is a good way to model tax applying to another charge. The charge is entered in the Related Charges section.

    • Variable per unit: Similar to Per unit but specified against a specific purchase order line schedule or transfer order shipment. There may be different rates in a charge for different schedules. The Rate is defined directly at the purchase order schedule level or transfer order shipment associated with the charge line.

    • Variable percentage of item price: Similar to Percentage of item price but specified against a specific purchase order line schedule or transfer order shipment. There may be different percentages in a charge for different schedules. The rate is defined directly at the purchase order schedule level or transfer order shipment associated with the charge line.

    Related Charges If you've set Charge Basis to Percentage of other charges, then use the Add icon in the Related Charges section to add these details for the related charge lines:
    • Item value of the source charge

    • Percentage of the charge amount

    Charge Basis UOM Select the unit of measure used to calculate charges.
    Service PO Enable this to derive the charge amount from a service PO line. This check box is visible when charge basis is set to Aggregate.
    PO Number Select the PO number from which to derive the charge amount.
    Service PO Line Number Select the Service PO line schedule from which to derive the charge amount.
    Service PO Schedule Select the Service PO line number from which to derive the charge amount.
    Supplier Select the supplier for which the landed cost charge is applicable.
    Supplier Site Select the supplier site for which the landed cost charge is applicable.
    Charge Currency Select the currency for calculating and allocating charges.
    Rate Specify the percentage value to calculate and allocate charges. You can enter a value only when the charge basis is per unit or percentage of item price.
    Amount Specify the total charge amount. You can enter a value only when the charge basis is aggregate, or in the case of service PO where the amount is derived from PO line.
    Nonrecoverable Tax This field is populated automatically from the taxation system if the Enable automatic tax calculation option is selected for the charge line in the Tax Attributes section. If the option disabled, you can manually add the amount.
    Charge Line Status Displays the status of the charge line.
  5. Add these details in the Charge Line Details section:
    Field Description
    Currency Conversion Rate Type Select the type of currency conversion rate applicable for the charge line.
    Currency Conversion Date Specify the date for which currency conversion rate must be considered.

    Allocation Basis

    Select the basis used for allocating the charge to purchase order schedules or transfer order shipments. Allocation basis options include:

    • Equally: The aggregate charge value is allocated equally across purchase order schedules or transfer order shipments associated with a charge line.

    • Item value: The aggregate charge is allocated in the ratio of item value (purchase order price multiplied by quantity) present on purchase order schedules or transfer order shipments.
    • Manual allocation factor: The aggregate charge is allocated to the purchase order schedules or transfer order shipments based on the manual factor provided by the user at purchase order schedule or transfer order shipment level on the charge line.
    • Quantity: The aggregate charge value is allocated in the ratio of quantities present on each of the purchase order schedules or transfer order shipments.

    • Volume: The aggregate charge value is allocated in the ratio of volumes (represented in terms of the Base UOM) present on each of the purchase order schedules or transfer order shipments.

    • Weight: The aggregate charge value is allocated in the ratio of weights (represented in terms of the Base UOM) present on each of the purchase order schedules or transfer order shipments.

    Allocation Basis Base UOM Select the unit of measure used to allocate the charges to PO schedules or transfer order shipments. This field is displayed if the allocation basis is quantity, volume, or weight.
    Track missing invoices Select this check box to identify the invoices that are missing or not yet received for the associated charges.
  6. Add charge references in the Charge References section. Click the Add icon and specify the details described in the table.
    Field Description
    Charge Reference Select the name of the charge reference.
    Value Specify a unique value for the charge reference.
    Automatically Associate on Match Select this check box to allow automatic association of invoices.
  7. Click Save and Close.

    Alternatively, click Save and Add Next if you want to add another charge line to the trade operation.

Add a Charge Using Quick Create

Use the Quick Add Charges option to add charges to any trade operation in just a few clicks. This option automatically populates common values from the setup, helping you to create charges faster by entering only minimal details.

  1. In the Receipt Accounting work area, select Trade Operations from the Quick actions menu.
  2. Search for the trade operation that you want to edit. Then, click the Edit icon for the trade operation.
  3. On the Charges tab, select Quick Add Charges from the Quick Add Charges menu.
  4. Specify these charge details: charge BU, charge name, charge basis, supplier, supplier site, and charge currency.
  5. Click Create and then select Create and Close to finish creating the charge line.

    Alternatively, select Create and Next if you want to add another charge line to the trade operation.
