Agency Portal

Recruiting agents have access to an agency portal which provides a common area to manage their interactions with job requisitions.

The agency portal is organized into four areas:

  • Invitations: Agents can view job requisitions for which they're invited to submit candidates. Agents can click the Submit Candidate button to submit a candidate for a requisition. The list of candidates available for selection are candidates not already submitted for the requisition and candidates who were sourced by the agency for a specific period of time. Candidates are added to the requisition as prospects.

  • Talent: Agents can view the list of candidates sourced by the agency. Agents can click the Add button to create a candidate profile. When the agent saves the information entered about the candidate, a check is done to verify if the candidate already exists in the agency database. If no duplicate is found, the agent can continue the creation process. An email is sent to the candidate to inform them that a profile was created. The candidate accesses the candidate self service area of the career site to review their profile and make changes, if any.

    Note: If an agent adds a document in the Internal Document section of a candidate profile, the recruiter can view this document while viewing the candidate profile. When the candidate profile becomes a candidate job application, the recruiter can no longer see the attached document. To see it, the recruiter needs to go in the candidate profile and set the option Display Candidate Data to Yes.
  • Referrals: Agents can view candidates they referred and their status. Note that when an agent adds a candidate to a job requisition and doesn't create a job application on behalf of the candidate, the agent can track the status of the candidate in the Referrals tab. Whereas when the agent adds the candidate to a job and creates a job application on behalf of the candidate, the agent can track the status of the candidate from the Job Applications tab. This also means that as soon as the referred candidate applies through a career site (thereby creating a job application), the candidate application is moved from the Referrals tab to the Job Applications tab.

  • Job Applications: Agents can view job applications for talent sourced by their agency.
