Ask For Feedback About a Candidate Interview

You can ask the Hiring Team to provide feedback regarding the interview of a candidate.

You can request feedback for one candidate or multiple candidates. When you select five or less job applications, the Collect Feedback action is performed in real time. When you select more than five job applications, the action is performed asynchronously and is processed as soon as possible. You're still able to continue to work. When the process is completed, you receive an email informing you that the action was successful for the number of job applications. You can also view which job applications were skipped or failed for any reason.
  1. On the Job Applications list, select one or multiple candidate applications.
  2. In the Actions menu, select Collect Feedback.
  3. On the Collect Feedback page, in the Candidates section, you can keep the candidates you selected or remove some of them.
  4. In the Select Respondents section, select respondents. By default, the Hiring Team defined on the job requisition is available for selection as respondents. You can add other respondents (any HCM user). They will also be added to the job requisition's Hiring Team as collaborators unless the profile option has been set to not add respondents to the Hiring Team.
  5. In the Select Interview Questionnaire section, select interview feedback questionnaires. These questionnaires contain questions to collect interview feedback. If you select a questionnaire that contains questions that are scored, you can take advantage of the questionnaire scoring capabilities to capture and display interview feddback scores on job applications. While you define the details for collecting feedback, a new option called Request Rating from Respondent is available. When you enable this option, a new Rating section is available in the questionnaire, and respondents provide a rating while completing the interview feedback questionnaire.
  6. In the Include Documents section, select job application's attachments to include in the feedback request. You can include a resume, cover letter, or miscellaneous attachments.
  7. In the Request Details, enter the expiration date for the request. You can also add a note for respondents. If you select the option Request Rating from Respondent, a Rating section becomes available in the questionnaire, and respondents provide a rating while completing the interview feedback questionnaire. When feedback respondents have submitted feedback questionnaires (the request status is Completed), the Feedback Requests section displays individual score and rating provided by each respondent for each questionnaire.
  8. Click Submit.

Results:

The respondents get a worklist notification (Bell icon) or an email that contains a link to open the interview questionnaire. The questionnaire includes basic information such as the requisition title, candidate name, job application-specific attachments, questionnaire instructions, any notes you added for the respondents. A Rating section is available if you enabled the option Request Rating from Respondent.

The respondents can complete the questionnaire or save their responses to complete the questionnaire later. When respondents submit the questionnaire, the completed questionnaire is available to review in the job requisition and candidate job application, on the Feedback tab. If you enabled the option Request Rating from Respondent, a Score and Ratings section shows the average score and rating provided so far by respondents for each questionnaire attached to the interview feedback request. Also, the Key Highlights section in the job application Details tab displays the overall rating for all feedback questionnaires and respondents. You can use the advanced filter called Feedback Questionnaires to filter the average score for a questionnaire. When you select a questionnaire, you define the minimum and maximum scores. When you apply the filter, job applications whose average score is between the minimum and maximum scores are displayed.

If respondents attempt to access a questionnaire they already submitted, they don't see the questionnaire; instead they just see a generic message that the questionnaire was completed and submitted.

You can manage requests for interview feedback for a single candidate at the job application level or across all job applications at the job requisition level, on the Feedback tab. Requests are grouped by questionnaire and display the candidate, respondent, request status, and request date.

If you want to send a message to respondents to remind them that they need to provide feedback, use the Send Reminder action. You can cancel feedback requests using the Cancel Request action. You can also renew expired requests so that respondents can complete the questionnaire. The Renew action resends the request to the respondent with all of the original attachments and notes. The renewed request automatically expires 14 days from the renewed request date.
