Merge Candidate Files

You can merge candidate files identified as possible duplicates after you have run a duplicate check or used specific identifiers.

Before you start

You need these privileges:
  • Perform Candidate Duplicate Check and Merge (IRC_PERFORM_CANDIDATE_DUPLICATE_CHECK_AND_MERGE)

  • View External Candidate Sensitive Information (IRC_VIEW_EXTERNAL_CANDIDATE_SENSITIVE_INFORMATION)

  • Use REST Service - Candidates List of Values (IRC_REST_SERVICE_ACCESS_CANDIDATES_LOV)

Here's what to do

  1. Open a candidate profile, a candidate job application, or a prospect record.
  2. In the Actions menu, select Check Duplicates.
  3. If you determine that a candidate is a duplicate, click Merge.
    A pre-merge analysis of both duplicate candidates is displayed. Key attributes such name, address, email, phone, job applications, screenings status are listed side by side.
  4. Review the report. You can also click Download to view a PDF version of the pre-merge analysis.
  5. Click Continue.
  6. Decide which candidate you want to retain.
    The candidate to retain is pre-determined when the candidate has a pre-existing work relationship. For instance, an ex-employee, an ex-contingent worker, a current contingent worker.
  7. Submit the merge request.
    A prerequisite check is done. When prerequisites are met, the request proceeds. The merge process combines the profile of both candidates and candidate activities such as job applications, talent community sign up.
  8. View the post merge analysis.
    The report lists the retained candidate profile and all activities of the candidate as a result of the merge.

Results:

What happens once the merge is done:
  • The candidate that wasn't retained is deleted.

  • Undeleted job applications of the deleted candidate are transferred to the candidate that was retained.

  • A notification is sent to inform you of the merge request status.

  • Merge reports are attached to retained candidate for further reference and traceability.
