Notifications for Candidate SMS Replies

Hiring team members are notified through email as soon as candidates reply to their SMS messages. This applies even they send SMS messages from the candidate’s profile or through candidate pools and receive replies from candidates.

An email notification contains a deep link that takes the recipient to the Messages tab in Recruiting.

Email notifications are based on a content template, which is available in the Recruiting Content Library in the Setup and Maintenance work area:
  • Content Item Name: Email Notification To Hiring Team for Incoming SMS
  • Category: Hiring Team Notifications For Incoming Candidate Messages
  • Code: ORA_INBOUND_SMS_NOTIFICATION
Email notifications are sent in real-time using the Webhook functionality, which has the capability to read incoming SMS messages instantaneously from the SMS provider. The existing scheduled process, Process Recruiting Inbound Message, also reads and processes incoming SMS messages, but it runs once in 15 minutes. Webhook addresses this lag time by processing messages instantaneously.
Note: Even though the Webhook functionality is available, it’s recommended to run the scheduled process to offset any Webhook sync issues that may occur due to unavailability of the application or a spike in application usage.

An SMS conversation initiated by a hiring team member is considered active for a specific duration configured by the administrator. When a candidate replies to the SMS during the active conversation period, an email notification is sent to the recruiter, hiring manager, or collaborators, or to all of them, depending on the configuration settings.
