Save Draft Job Applications

Draft job applications from external candidates are saved. When a draft job application is created, candidates get notified and they can access the saved draft using a direct link. Draft job applications aren't visible to recruiters or hiring managers until they're submitted by candidates.

To make sure the candidate gets notified about a saved draft job application:

  1. Go to the Scheduled Processes work area.

  2. Run the scheduled process Send Draft Application Reminder Notifications and Automatically Confirm Applications.

When the process is run, these notifications are sent to candidates so they're aware that drafts job applications are saved. The notifications are available in the Recruiting Content Library:

Here's how it works:

  • The candidate job application is automatically saved when the candidate identifier (email address or phone number) and legal disclaimer consent are provided. The data is saved every 10 seconds. A candidate can drop off from the process and start over when ready, without losing any data.

  • The candidate receives an email or SMS notification as soon as a draft job application is saved. A first notification is sent after 60 minutes of candidate inactivity. A second notification is sent 3 days after the last save of the draft application. Both notifications are only sent once for a draft to avoid spamming the candidate.

  • The candidate can access the draft job application using the URL provided in the notification, by accessing their candidate self service, or by starting to apply for the job again.

  • Draft job applications can't be viewed by recruiters or hiring managers. They can only be accessed by the candidate.

  • If the candidate doesn't interact with the draft job application for 30 days, the application is automatically removed.

  • If a candidate profile is updated after a draft job application was saved, the draft job application will be updated with the candidate profile data.

Note: Any changes affecting an active apply flow may impact data saved in a job application. Draft data might have been saved for a candidate and the candidate won't be able to edit it when coming back to the flow.
