How You Use Questionnaires in Performance Documents

Create questionnaires to add to performance documents. These questionnaires gather feedback about workers from participants other than direct managers. Managers can use such feedback to help them evaluate workers.

Here's what you use questionnaires in performance documents for:

  • Capture feedback in performance documents

  • Collect information on a worker other than competencies and goals

  • Configure questions for specific audiences and periods

To create questionnaires, go to My Client Groups > Performance > Questionnaires. From there you can also create Questions and Questionnaire Templates.

Instead of writing your own questions, you may want to see what questions have already been created. To go to the Question Library task, go to the Setup and Maintenance work area from the Settings and Actions menu:

  • Offering: Workforce Development

  • Functional area: Questionnaires

  • Task: Question Library

Capture Feedback in Performance Documents

Using questionnaires allows your organization to get feedback from multiple sources. Such sources are the worker being evaluated, the worker's manager, peers, colleagues, other managers, internal customers, or any other role in the organization. This helps you get a wider view of a worker's performance. Managers can't use participant feedback captured in a performance document to rate workers in the performance document, but managers can use it to help determine how to rate workers.

Managers, workers, or both, manage participant feedback to select participants and assign them roles. Those roles determine which questionnaires the participants respond to.

Score Questionnaires Used in Performance Documents

You can enable scoring for a questionnaire when configuring a performance template. If you choose a questionnaire, use these options to configure the scoring on the Performance Template page:

  • Use the Processing by Role section to select the roles that can view the scores. When you enable scoring for a role, persons having the role can see the scores and section weight in the questionnaire. The scores display to the user when they save or after they've submitted their evaluation.
  • Select Enable section weights in the Weighting section to enable a section weight for the questionnaire section. Assign a section weight to be applied against the total score if it’s considered in the overall summary rating calculation. You can assign a minimum section weight that the section weight can't be set lower than in the performance document.
  • Select Include total score in overall summary calculation in the Scoring section to include the total score in the calculation of the overall summary rating.

Collect Information on a Worker Other than Competencies and Goals

You can use questionnaires to gather data about workers that isn't specifically about competencies and goals, thus increasing the range of information concerning the worker's performance and development.

For example, you can ask the manager or worker to do these actions:

  • Identify strengths of the worker, or areas that require more development.

  • Describe the top three achievements of the worker during the previous year.

  • Discuss the worker's satisfaction in the current role.

Set up Questions for Specific Audiences and Periods

You can set up questionnaires to target general audiences, or specific groups, such as managers, workers, peers or other roles. You must associate questionnaires with performance template periods, and assign the roles that respond to the questionnaire. This enables you to create questionnaires that concentrate on specific periods, or can be used over multiple periods.
