Approve a Job Offer

When a job offer is ready to be approved, approvers receive an email notification and a worklist notification (bell icon). The notification can contain any of the offer's fields and their values for the approver to consider.

Approvers can click a link in the notification to view the exact offer letter that the candidate will see. Note that the approvers' own privileges MIGHT affect whether they can see the values of certain fields such as salary or other compensation. If the offer has attachments, approvers can view the titles of all candidate-facing documents and all internal documents in the approval notification. At the bottom of this notification are the attachments themselves, displayed next to the name of the user who initiated the approval. Approvers can open and view any of these documents here.

Approvers don't need to be named on the offer team, but they do need the right to see the candidate based on their data security. Also, to see all the relevant fields within the approval notification and within the candidate's offer letter linked from that notification, they need the following duty roles.

  • View Job Offer (ORA_IRC_VIEW_JOB_OFFER)

  • View Job Offer Salary (ORA_IRC_VIEW_JOB_OFFER_SALARY)

  • View Job Offer Other Compensation (ORA_IRC_VIEW_JOB_OFFER_OTHER_COMPENSATION)

  • View Job Requisition (ORA_IRC_VIEW_JOB_REQUISITION)

When all approvers give their approval, the approval is completed successfully. The job application changes to the Offer - Approved status. When the approval is rejected, the job application changes to the Offer - Approval Rejected status. If the approval is configured to be bypassed, the status will change to Offer - Approved immediately after the user has submitted the draft offer.

In case the approval cycle needs to be stopped for a candidate before it reaches the last approver, the person who submitted the offer into approval can do the following. They can use the Move action to change the job application's status to either Offer - Rejected by Employer or Offer - Withdrawn by Candidate. Alternatively, they can go to the Worklist area, find the tasks that they have initiated, and take the action Withdraw on this candidate. This will bring the job application back into the status Offer- Draft. Also, administrators can go to the Transaction Console tool and withdraw any pending offer from the approval cycle, as usual.
