Create a Job Requisition

You create a job requisition to specify the requirements of a job for which candidates are hired.

Here's what to do

  1. Initiate the Creation of the Job Requisition

  2. Enter Details About the Job Requisition

  3. Submit the Job Requisition for Approval

  4. Enter Job Formatting Information

During the job requisition creation process, you can view the progress of the job requisition in the Progress tab. You can see the date when the job requisition was created, its phase and state, the start date of the phase, and the time spent on the phase.

Initiate the Creation of the Job Requisition

You initiate the creation of a job requisition by selecting how you want to start off the creation process. You can initiate the creation process from the Hiring work area, or using the Create Job Requisition quick action, or using the Create Requisition action from within a workforce model.

Note: If you initiate the creation of the job requisition using a workforce model, when the workforce model is ready, you can implement the model to create or update job requisitions within Hiring. The model is implemented if there are no conflicts between the model and the existing job requisitions.
  1. On the Job Requisitions page, click Add.
  2. On the Create Job Requisition page, provide details on how you want to create the job requisition.
    1. In the Requisition Type field, select Standard.
    2. In the Use field, select how you want to start off the creation process.
      • Blank Requisition: You create the requisition using a blank form.

      • Existing Requisition: You create the requisition by duplicating an existing job requisition. Fields (except the Requisition Number) in the new requisition are prepopulated with field values from the source job requisition. If a job requisition template was used to create the source job requisition, it's displayed in the Requisition Template field in the new job requisition. The new job requisition considers only the values of the source job requisition fields and not the content of the template.

      • Template: You create the requisition using a job requisition template. You'll find many of the requisition fields prepopulated based on the selected template. The templates you can select match the recruiting type and primary location of the requisition. Your access to the templates displayed by the selector depends upon the organization selected on the templates and the organization security profile of your data roles.

      • Position: You create the requisition by selecting a position to base it upon.

      • Job: You create the requisition by selecting a job to base it upon.

  3. Click Continue.

You enter details about the job requisition by navigating to each section of the job requisition.

Submit the Job Requisition for Approval

When you're done entering all the details of the job requisition, use the Submit action to submit the job requisition for approval.

By default, the job requisition is set to Job Formatting - In Progress, and an approval isn't required. In case the approval process is enabled:

  • The job requisition is set to Approval - Pending.

  • The job requisition is routed automatically to the hiring manager's first-level manager, who's the first approver.

  • If the hiring manager's first-level manager approves the job requisition, the job requisition is routed automatically to the hiring manager's second-level manager, who's the second approver.

  • If the hiring manager's second-level manager approves the job requisition, the job requisition is set to Job Formatting - In Progress.

When you submit a job requisition for approval, the banner "Approval in progress. See how it's going." is displayed and you can click the link in the banner to see complete transaction details. This link is only available to the approval initiator.

After you submit a job requisition for approval, you can't edit most of the job requisition fields unless you have the privileges Update Job Requisition (IRC_UPDATE_JOB_REQUISITION) and Update Job Requisition After Draft Phase (IRC_UPDATE_JOB_REQUISITION_AFTER_DRAFT_PHASE). When the job requisition is approved, you can use the Redraft Job Requisition action to return the job requisition to the draft status and change the values of the fields. When you redraft a job requisition, the job requisition is set back to Draft - In Progress and the job requisition must be submitted again to go through the approval process if required.

Your administrator might have configured if sections within a requisition must be accessed or not by users. When sections are configured as required, when you create a job requisition or change a draft job requisition, you'll need to access and open these sections in the requisition to save the requisition or submit it for approval. If you don't access required sections, an error message is displayed indicating which ones you need to access to proceed with the selected action. If you can only initiate job requisitions because you don't have the privilege Update Job Requisition, the error message is displayed when you save the requisition. If you have the privilege Update Job Requisition (IRC_UPDATE_JOB_REQUISITION) , the error message is displayed when you submit the requisition. You can save changes in the requisition even if not all required sections have been visited, while making sure required sections are visited before submitting.

Enter Job Formatting Information

When the job requisition is approved, the Job Formatting tab in the requisition becomes available. This is where you select descriptions and media you want to share with candidates.

  1. On the Job Requisitions page, click the job requisition you just created.
  2. In the Employer Description section, click Edit.
  3. Select a predefined description of the employer and click Save.
  4. In the Recruiting Organization Description section, click Edit.
  5. Select a predefined description of the organization and click Save.
  6. In the Media section, click Add.
  7. You can select images and videos to be shown to the candidates. For example, images of the facilities, video of the corporate history of the organization, video of testimonials from current employees. When you add a URL for a video, by default the Thumbnail URL automatically points to a high-quality version of the video. It's recommended that you add URLs of the type HTTPS to avoid displaying insecure items in a secure career site page. You can select specific images and videos to be shown to the candidates who will receive job offers.

    You can select the languages in which each media item is available and translate the media title in the appropriate languages.

  8. Click Save.

When you're done, you can use the Preview Job Requisition action to see how the information is shown to candidates on the career site. When you're ready to post the requisition, use the Move to Posting or Open for Sourcing action to post the job on a career site.
