Redraft a Job Offer

You can adjust a job offer after the offer is approved by the approver or accepted by the candidate. When you redraft a job offer, the state changes to Draft so you can change the content.

You can redraft a job offer before it's extended to the candidate and also after the candidate has seen it.

Redraft Before the Job Offer is Extended

Redrafting a job offer can be useful if a job offer gets stopped or must be revised after it leaves the Draft state. For example, you need to make a change in the offer or the candidate wants to negotiate elements in the offer. When you redraft a job offer, it must go through the approval process again.

You can use the Redraft Offer action when the job offer status is:

  • Offer - Approval Rejected, and you judge that it's worthwhile to review the job offer.

  • Offer - Approved, and you discovered that changes are necessary after the job offer was approved.

When the job offer status is Offer - Pending Approval, the person who submitted the offer into approval can withdraw it from the approval cycle if needed, using the Worklist area. This moves the offer back to Offer - Draft, and no redraft action is required.

Redraft After the Job Offer is Extended

You can redraft a job offer after the candidate has seen it, if changes are needed. You can revise the offer letter for the candidate to consider it again.

There are situations where a candidate saw or accepted a job offer but something changed and you need to re-issue a new job offer letter. In these situations, you can use the Redraft Offer action. The job offer gets reset to Draft. You can change the job offer, get it approved again, and re-extend it to the candidate. The candidate then responds to the revised offer.

You can redraft a job offer when the job application is in the following phases and states without rejecting or withdrawing the candidate job application:

  • Offer – Extended
  • Offer – Accepted
  • Any custom phases configured after the Offer phase
  • HR – Pending Automated Processing
  • HR – Pending Manual Processing
  • HR – Error During Processing
  • HR - Processing in Progress (for external candidates only)

To redraft job offers after a job application has reached the HR phase, you need the privilege Redraft Job Offer After HR Phase (IRC_REDRAFT_JOB_OFFER_AFTER_HR_PHASE_PRIV).

Note: When the job requisition is closed or canceled, the Redraft Offer action is no longer available.

For internal candidates:

If the job application is in HR phase and Processing in Progress state, you need to follow these steps:

  1. Delete the future dated new assignment record for the employee.
  2. Run the Complete the Recruiting Process scheduled process.
  3. The job application will move to the Withdrawn by Candidate state and the Redraft Offer link will be enabled.
  4. Click the Redraft Offer link to bring the job application in the Offer - Draft status.

All versions of accepted job offer letters are retained on the worker's Document Records page, in the document type Recruiting Job Offer Letters. This means that each version of the same job application's offer letter can be seen at once, if the candidate accepted an offer which was then redrafted and re-accepted. This is important because the changed values might be reflected in the new offer letter compared to the old offer letter, such as a new work location, start date, and e-signature date, if these fields are configured to be included.

If a job offer gets redrafted before being accepted by the candidate, the prior version of the offer isn't retained in the worker’s Document Records.

Note: The Redraft Count column is made available to capture the number of times a job offer is being redrafted. This attribute is exposed in Approval Rules which will help you to configure the leaner approval rule or bypass approval for redraft scenarios.

Use Cases

Use Case 1: The job requisition is in the Filled state and is no longer posted. To redraft the job offer, the requisition must be reopened and posted so that it's in an Open state. The Redraft Offer action is no longer available when a requisition is closed or canceled.

Use Case 2: Your administrator enabled the Prevent Redrafting Offers feature and the offer was processed or rejected over 90 days ago. To redraft the job offer, your administrator must disabled the Prevent Redrafting Offers in the Setup and Maintenance work area.

Use Case 3: The Redraft Offer action is grayed out and you're unable to redraft a job offer for a candidate in the Withdrawn by Candidate state. That's because your administrator enabled a setting to prevent job offers from being redrafted.
