Candidate Interviews

A candidate interview is a formal meeting to evaluate the qualifications and work experience of candidates and move them through the candidate selection process.

You can schedule, modify, and cancel interviews with candidates directly in Recruiting. Attendees invited to a meeting receive an interview notification by email and they can add the meeting to their calendars. Each time an interview is scheduled, updated, or canceled in Recruiting, an email message is sent to selected attendees.

Let's look at the main steps of a candidate interview.

A recruiter wants to interview a candidate for a job. The recruiter finds the candidate file, opens it, and choose the Schedule an Interview action in the More Actions list. The recruiter enter details about the interview such as the organizer, location, date, time, and duration, and invites the people who will attend the interview (the candidate and the interviewers). An interview invitation is sent to the attendees. The most appropriate invitation message template is selected by the system based on the requisition's Organization, Location, Job Field structure and the application language. You can select another notification if you want. You can send the candidate file and requisition file to the interview attendees but not the candidate.

The candidate, the meeting organizer, and the interviewers receive the interview meeting invitation by email and they can add the invitation directly into their calendars. If the candidate has no email address, the interview organizer can print the invitation and send it to the candidate by fax or regular mail.

After the interview is scheduled, you can view the interview details in the Interviews tab.

Schedule an Interview

You can schedule a candidate interview for a job.

The candidate submission must be at an interview step of the selection process.
  1. Open the candidate submission.

  2. In the More Actions menu, select Schedule an Interview.

  3. Enter details about the interview such as the subject, organizer, location, date, time, and duration. You can also set a reminder for the interviewers.

  4. Click Next.

  5. Invite the people who will attend the interview. The hiring manager of the requisition is invited by default. If the meeting organizer is the hiring manager, the recruiter is invited instead.

  6. You can also decide to invite or not the candidate.

  7. You can attach the candidate file and requisition file to the interview and also to the invitation being sent. Interviewers will see the files, but not the candidate.

    Confidential info isn't displayed and files attached (such as resume) aren't included.
  8. An interview invitation is sent to the attendees. The most appropriate invitation message template is selected by the system based on the requisition's Organization, Location, Job Field structure and the application language. You can select another notification.

  9. You can send the candidate file and requisition file to the interview attendees but not the candidate.

  10. Click Preview to see how the interview request looks like. You can also print it.

  11. Click Next.

  12. Review the details of the interview.

  13. Click Submit.

After the interview is scheduled, you can view the interview details in the Interviews tab.

Modify an Interview

You modify the interview meeting by changing the attendees, the schedule, or other information.

  1. Open the candidate submission.

  2. In the More Actions menu, select Update an Interview.

  3. Change details about the interview.

  4. Click Submit.

An email message containing the interview details is sent to existing and new attendees. The message is identical to the original message except that (Updated) appears in the subject of the message. Attendees that have been removed receive a cancellation message. The ics file attachment is now named "Update my calendar.ics".

Cancel an Interview

You cancel a candidate interview when you no longer feels the interview is required.

  1. Open the candidate submission.

  2. In the More Actions menu, select Cancel the Interview.

  3. Choose if you want to send a notification to inform the attendees that the interview is canceled.

  4. Click Cancel Interview.
