OTM-GTM Integration: New Features

The following are the major features included in this integration:

  • Configurability using Data Configuration
  • Determining which Data to Copy using Data Configuration Rules
  • Performing Actions on OTM Shipments and OTM Shipment Groups
  • Enhancements to the GTM Trade Transaction

Configurability using Data Configuration

Data Configurations enable you to specify which data to copy from OTM buy shipment to GTM trade transaction or from OTM shipment group to GTM trade transaction. When creating a data configuration that will be used for copying data from OTM objects to GTM trade transaction, you should select an Association Type of ‘Shipment to Transaction’. The data you can copy includes:

  • Incoterm
  • Transport Mode including inland, border and departure transport modes
  • Dates
  • Reference Numbers and Remarks
  • Locations and Involved Parties
  • Shipment Ship Unit Lines
  • Service Provider
  • Ports
  • Quantities and Values
  • Conveyance details such as Equipment Initial/Number and Seal Number
  • Commodity information including Item, Hazardous Indicator (at transaction header level), Quantities and Values (value will not be copied at line level)

When you set up a data configuration, you can specify details such as which data should be copied based on qualifier. In addition, you can specify when the data should be copied:

  • Copy If Null: indicates that the source value from OTM will be copied to the GTM trade transaction if the target value is null or not present
  • Overwrite: indicates that the source value from OTM will be copied when you want the existing target value on the GTM trade transaction to be overwritten
  • Append: indicates the source value from OTM will be added to the existing target value
  • Sum: indicates that costs will be copied from shipment to transaction

The details you need to specify will depend on the data being copied. For example, when copying Incoterm, you do not need to specify additional details but for data such as remarks, a qualifier needs to be specified.

When you specify a qualifier, you can map the source qualifier to a target qualifier. This enables you to change the qualifier from a transportation-specific qualifier to a trade compliance-specific qualifier. For example, if the ORDER OWNER in OTM should be the ULTIMATE CONSIGNEE in GTM, you can specify this mapping when setting up the rules for copying involved party data. For values, you can specify the Cost Type from OTM and the value qualifier it should be mapped to in GTM.

Determining which Data to Copy using Data Configuration Rules

Data Configuration Rules enable you to create rules to determine which data configuration should be used when creating GTM trade transactions from OTM buy shipments or OTM shipment groups. Once GTM determines which data configuration to use, the GTM trade transaction is created from the OTM object. A data configuration rule can be assigned based on:

  • Dates
  • Transport Mode
  • OTM Shipment Type
  • Shipment Reference Number or Saved Query (in case both are mentioned, Shipment Reference Number takes precedence)
  • Additional criteria included in a Saved Query

Performing Actions on OTM Shipments and OTM Shipment Groups

As part of the enhancement, the following actions are provided on OTM buy shipment and shipment group:

  • The Build Trade Transaction action enables you to create GTM trade transactions from OTM buy shipments or OTM shipment groups including transport shipments, secondary charge shipments, and handling charge shipments. When the action is triggered, enter a Transaction Type ID which will be specified on the trade transaction being created. Select the check boxes in the Include Related Shipments section if you want to include shipments with secondary charges or handling charges. This action can be triggered as a manual action or via an automation agent action from an OTM buy shipment or shipment group.
  • If OTM buy shipment or shipment group data changes, the Propagate Changes to Trade Transaction action re-evaluates and updates all related trade transactions and trade transaction lines. When the action is triggered, you can select the Consider Related Shipments check box to indicate if you want to take into account the data changes in related shipments when propagating changes to the trade transaction. The data configuration previously used will determine which data is updated on the trade transaction and trade transaction lines. In addition, values will be re-aggregated accordingly. This action can be triggered as a manual action or via an automation agent action from an OTM buy shipment or shipment group. It is recommended that you do not make changes to the data configuration used to create the trade transaction since the criteria will be used when propagating changes.  
  • • If an OTM buy shipment or shipment group is deleted, the Remove from Trade Transaction action will remove the OTM shipment or shipment group from the related trade transaction. Values will be re-aggregated with the remaining shipments using the associated data configuration. When the action is triggered, any related shipments are removed from the trade transaction. This action can be triggered as a manual action or via an automation agent action from an OTM buy shipment or shipment group.  It is recommended that you do not make changes to the data configuration used to create the trade transaction since the criteria will be used when removing a shipment/shipment group.  

Note: For the OTM buy shipment, the GTM actions available in previous releases have been deprecated and will be removed in the next release. It is recommended that you use the new actions that have been added.
OTM order releases continue to use existing capability for GTM trade transaction creation.

Enhancements to the GTM Trade Transaction

To better support the integration between OTM and GTM, a few enhancements have been made to the GTM trade transaction.

  • The conveyance details including Equipment Initial, Equipment Number, and Seal Number are captured in the Conveyances grid. If the data configuration being used specifies that equipment data should be copied from OTM objects to a GTM trade transaction, this information will be stored in the Conveyances grid.
  • In the Transaction References grid, you can see all the OTM buy shipments or shipment groups that were used to create a trade transaction including Shipment ID/Shipment Group ID, and the data configuration used to copy data to the trade transaction. This data is automatically assigned when creating a trade transaction from an OTM object.
