Using the Migration Tool to Map Schedule Sheet Data to Manual Activity Sheets

You can use the Automated Schedule Migration Tool to map schedule data from the Schedule Manager to manual Activity Sheets. This tool helps maintain data integrity, system transparency, and user control while supporting predefined (out-of-the-box [OOTB]) and custom fields. The migration includes preflight validation and produces post-migration reports and audit history for traceability. On the Field Mapping for Schedule Migration page, map all custom fields from the Schedule Sheet to fields on the Activity Sheet. The system automatically maps predefined fields.

Prerequisites

Ensure the following:

  • The person who designs forms for your organization has verified that all relevant custom fields exist on the Activity Sheet where data will be transferred. For more information, see Manually Creating New Activity Sheet and Activity Attributes Form.
  • You have the required permissions to access and use the tool.
    1. Go to the Company Workspace tab, and switch to Admin mode.
    2. In the left Navigator, select User Administration, and then select Access Control.
    3. In the right pane, expand Administration Mode Access, expand Configuration, and select Schedule Migration Mapping.
    4. In the Module Permission Settings dialog box, enable Configure.
    5. Select OK, and then select OK again.
  • After setting the permissions, you can view the Field Mapping node.
    1. Go to the Company Workspace tab, and switch to Admin mode.
    2. In the left Navigator, select Configuration.
    3. In the list of sub-nodes, verify that Field Mapping appears.
  • Verify that each applicable user, such as a project manager, has configured or updated the Properties tab for the manual Activity Sheet to meet the requirements listed in the Manual Activity Sheet Configuration Requirements table.
    Property Purpose Notes
    Calendar Provides a fallback when the activity calendar blank. The default calendar must exist, and the calendar names must match.
    Time Zone Converts dates and times into a consistent standard format for storage, comparison, processing, or migration. Helps prevent off-by-one errors during import.
    Data Date Anchors progress and remaining calculations. Required for consistent earned value management (EVM) and rollups.
    Schedule Type Determines the pricing method. Cost uses cost-loaded values. Time uses rates. Use the value that matches the migration intent.
  • Review the Field Mapping Table. This table lists the predefined (OOTB) fields from the Schedule Manager, the target fields in an Activity Sheet, and whether each field is migrated automatically.

Procedure

  1. Go to the Company Workspace, and switch to Admin mode.
  2. In the left Navigator, select Configuration, and then select Field Mapping.

    The Field Mapping for Schedule Migration page appears.

  3. In the Schedule Sheet Fields column, select the first custom field to map.

    Note:

    If you do not want to migrate the information, select Do not migrate.
  4. In the Activity Sheet Fields column, select the field to map to.
  5. After you map all custom fields, select Save.
