Adding a Custom Reports Schedule

To add a schedule:

  1. Go to the Company Workspace tab, and switch to Admin mode.
  2. In the left Navigator, select Templates, and then select Shells.
  3. Open the shell template that you want to update.
  4. In the left Navigator, select Reports, and then select Custom Reports Schedule.

The Custom Reports Schedule page opens.

  5. Choose one of the following options:
    • If you are adding reports to a schedule for the first time, select Add Reports.
    • From the toolbar, select Add Reports.
  6. In the Select Custom Reports dialog box, select the reports to add, and then select Add.

    Tip:

Use the Search field to search for a specific report by keyword.

The system adds the selected reports to the Custom Reports Schedule page. To remove a report, select it, and then select Remove from the toolbar.

  7. To define a schedule for a report, select Schedule "".
  8. On the [Report Name] page, select Add Schedule.
  9. On the next [Report Name] page, complete the following:
    1. If you are not ready to run the report on a schedule, clear the Enable schedule report run checkbox.
    2. If multiple templates are available, select the applicable Template.
    3. Enter a unique Schedule Name.
    4. Select an applicable Output Format: PDF (default), Excel, or RTF.
    5. Select the Frequency, Day of the month, Start Date, and Range of recurrence. The Start Date defaults to the current date. The selected Frequency determines when the report runs:
      • Weekly: Runs once each week on the same weekday as the Start Date.
      • Monthly: Runs once each month on the same calendar day as the Start Date.
      • Quarterly: Runs once every three months on the same calendar day.
      • Yearly: Runs once each year on the same month and day as the Start Date.

If you change the Frequency, the system recalculates the next run date automatically.

    6. To prevent the system from saving the execution log and output in the Saved Result log for a project/shell, clear the Save in Result Log checkbox.
    7. To save the report in a Document Manager location for the project/shell, select Save report in Document Manager, and then use the Document Manager Folder picker to select the location.
    8. To email the report automatically to users or groups, select Auto email as attachment to users and groups, and then use the picker to select the users and groups. When you are working with a template, the picker displays all users and groups that are defined in that template. After the Custom Report Schedule is available to a project/shell, the picker displays only the active users and groups that are associated with that project/shell.
    9. To filter the report dynamically based one input values, use the Query Parameters and Additional Parameters sections.
  10. To save the schedule, select Add.
