About Timesheets

Timesheets are used to record the amount of time that workers (labor resources) spend on activities or work orders. Once charges are entered, processing allows these workers to receive proper compensation for their work and labor charges are applied to the appropriate cost buckets.

Generally, each of these individual workers and the persons designated as their supervisor are the only ones who can access or enter timesheet information for that individual, however, authorized “timekeepers” who are not supervisors of these individuals can be configured to manage timesheet information for these workers. Timesheet Access

Access to an employee’s timesheet is controlled in the following manner:

  • Employees can always access their own timesheet

  • An employee having a supervisor role can access any of their employee’s timesheets. This access is hierarchical such that a supervisor’s designated supervisor is also able to access timesheets for lower-level employees.
  • Users can be assigned to the role of Timekeeper and will have access to all employee’s timesheets listed on the Active Timekeeper record.
  • Users can be designated as a special group, usually payroll employees, on their User record that gives them access to all employee timesheets.

Unrestricted Timesheet Search (W1UTMSTS) application service can be associated with a User Group which allows any employee to search for any employee and create or access their timesheet. The employee is not restricted to a list of valid employees they are responsible for but can simply click the Search icon next to the Employee field and search for and create or access timesheets for that employee.

Shift Types

When workers book time, they also specify the shift type they worked. Different shift types have different multipliers and adders which impact the labor costs. Timesheets can only specify daily shift types (as opposed to weekly shifts).

To restrict access to only those employees that are valid for the Employee, remove the Unrestricted Timesheet Search (W1UTMSTS) application service from the User Group to provide a drop-down list of valid employees the employee can create and edit timesheets for.
