Manually Completing Work Activities Using Process Flow

Work activities in Oracle Utilities Digital Asset Cloud Service and Oracle Utilities Digital Asset Management can be manually completed using the Process Flow portal and functionality. This allows users to step through a series of panels on which they enter completion information about the work activity, including asset installation and removal and service histories (if any) for the asset and activity. This process creates a set of completion events which are used to update the system as needed to reflect the completion of the work activity. See Understanding Completion Events for more information about completion events. When used with work activities associated with enrollment and unenrollment, the enrollment or unenrollment service tasks associated with work activities completed using this process are transitioned to an appropriate status, facilitating progression and completion of enrollment and unenrollment processes.

Work activity manual completion process flows are initiated from work activities. Clicking Initiate Completion on work activities open the process flow portal. Note that this option is available only if the work activity's activity type has either an 'Update Asset' or a 'Create Any Service History' Completion Event Type (or both) defined, and the activity is in the "In Progress", "In Progress External", "Active", "Sent", or "Finished" state.

When navigating between panels on the Process Flow portal, the Next and Previous buttons allow you to move to the next or previous panels in the process respectively. To save your progress and settings before moving on to the next panel, click Save. Click Finish on the Summary panel to mark the process flow as Closed. To cancel the process, click Cancel Process. This transitions the service task to the "Canceled" state. See Action Method in the Administrative User Guide for more information the process flow functionality,

The following sections describe the content on the different panels used in work activity manual completion process flows.

Field Work Details

TheField Work Details panel is used to specify completion information related to the asset and location such as installation and removal of assets, as well as recording details for customer-owned assets. This includes the following:

Install Controllable Device: Completion details for an installation of or more controllable devices at the work activity's location.

  • To add a controllable device for installation, enter an Effective Date for each device's installation and each device's Serial Number (and optionally Manufacturer and Model if the same serial number is used with different Manufacturers and Models). The Comments column indicates if the device is present in the system.

Remove Controllable Device: Completion details for an removal of or more controllable devices at the work activity's location.

  • To add a controllable device for removal, enter an Effective Date for each device's removal and each device's Serial Number (and optionally Manufacturer and Model if the same serial number is used with different Manufacturers and Models). The Comments column indicates if the device is present in the system.

Customer Owned Asset: Completion details for recording relevant customer owned assets, such as HVAC components, solar panels, inverters, batteries, or other assets that were discovered by a crew at the work activity's location.

  • To add a customer owned asset, enter an Effective Date, select the Manufacturer, select the model Model, and enter the Serial Number for each customer-owned asset. The Comments column indicates if the asset exists in the system.

A completion event will be created to update the system to reflect installation or removal of the controllable devices specified, and to create new controllable devices based on customer owned assets.

Click Next to move to the Activity Service History panel.

Activity Service History

TheActivity Service History panel is used for entering completion information related to service history related to the work activity (if applicable). This includes the following:

Activity Service History: Details for service history information related to the work activity, including the Service History Type and corresponding details (such as Effective Date/Time, questions, and so on).

  • To enter activity service history completion information, select the Service History Type, enter the Effective Date/Time, and then populate other data fields as appropriate. Required service history types (those that must be completed) are marked with an asterisk (*).
Note: This section is visible only when the work activity has a Planned Service History of category "Inspection" and subclass "Questionnaire" and whose activity type has a 'Create Any Service History' Completion Event Type defined. Otherwise, this panel displays a "There is no Activity Service History to Complete" message.

For each service history updated on this panel, an appropriate completion event will be created to update the service history in the system.

Click Next to move to the Asset Service History panel. Note that you must provide details for all required service histories for the activity before moving to the next panel.

Asset Service History

TheAsset Service Historypanel is used for entering completion information related to service history. This includes the following:

Asset Service History: Details for service history information related to the asset, including the Service History Type and corresponding details (such as Effective Date/Time, questions, and so on).

  • To enter asset service history completion information, select the Asset, select the Service History Type, enter the Effective Date/Time, and then populate other data fields as appropriate.
Note: This section is visible only when the assets from the work activity Asset List and/or assets defined on the Field Work Details panel (in the Install Controllable Device and Remove Controllable Device sections) have associated service histories. Otherwise, this panel displays a "There is no Asset Service History to Complete" message.

For each service history updated on this panel, an appropriate completion event will be created to update the service history in the system.

Click Next to move to the Summary panel. Note that you must provide details for all required service histories for the activity before moving to the next panel.

Summary

The Summary panel displays completion events related to the work activity, including those defined on the Field Work Details, Activity Service History, and Asset Service History panels.

When initially opened, the Summary panel is empty. Click Finish on the Summary panel to create completion events based on details defined on the previous panels.

Completion events are created as follows:

  • A single completion even is created for the assets/devices defined on the Field Work Details panel.
  • A completion event is created for each service history defined on the Activity Service History and Asset Service History panels.

These completion events can be viewed on the work activity that created the process flow.

Click Close Out on the work activity to execute the completion events and update the system as needed to reflect the completion of the work activity.
