About Preventive Maintenance Process Flow
Preventive maintenance refers to routine maintenance work, such as inspections, repairs, and replacements, which help to prevent assets from failing. Preventive maintenance work requires asset types, a maintenance specification, and maintenance schedule containing the triggers that tell the system when the asset is due for maintenance, be set up for every asset type requiring similar maintenance.
The Preventive Maintenance Process Flow utilizes two separate process flows to accomplish the maintenance of assets:
- Maintenance Specification Process Flow
- Maintenance Trigger Process Flow
Create Action Method
Action Methods are required to use the Preventive Maintenance Process Flows.
- Select Admin, select System, then select Action Method, Add.
- For the Maintenance Specification Process Flow:
- Select Maintenance Specification Action Method from the Action Method
Business Object drop-down list on the Select Business Object screen and
click OK.
The Maintenance Specification Action Method Business Object is secured by the Maintenance Specification Action Method BO application service. Users must be given access to this application service to use the Maintenance Specification Process Flow.
- Action Method: A code for your action method
- Action Method Role: Maintenance Specification Process Flow
- Description: A description of your action method
- Process Flow Type: Maintenance Specification
- Click Save.
- Select Maintenance Specification Action Method from the Action Method
Business Object drop-down list on the Select Business Object screen and
click OK.
- For the Maintenance Trigger Process Flow:
- Select Maintenance Trigger Action Method from the Action Method Business
Object drop-down list on the Select Business Object screen and click
OK.
The Maintenance Trigger Action Method Business Object is secured by the Maintenance Trigger Action Method BO application service. Users must be given access to this application service to use the Maintenance Trigger Process Flow.
- Action Method: A code for your action method
- Action Method Role: Maintenance Trigger Process Flow
- Description: A description of your action method
- Process Flow Type: Maintenance Trigger
- Click Save.
- Select Maintenance Trigger Action Method from the Action Method Business
Object drop-down list on the Select Business Object screen and click
OK.
Initiating the Maintenance Specification Process Flow
Use the following procedure to initiate the maintenance specification process flow:
- Select Menu, select Main Menu, select Preventive Maintenance, and then select Maintenance Specification Process Flow. The Process Flow page opens on the Asset Type panel.
- The Asset Type panel is the first panel in the process.
- Use the Asset Type Action field to select either to Create a New Asset Type
or to Use an Existing Asset Type (Only non-ODM asset types are available for
selection.)
Upon selection, only the fields pertinent to that selection are displayed. All required fields are marked with an asterisk.
- If you are selecting Use an Existing Asset Type, all theValid Service
History Types for the selected asset type are listed in the Valid Service History
Types list.
You can add additional Service History Types to the list but cannot delete existing ones.
- If you are selecting Use an Existing Asset Type, all theValid Service
History Types for the selected asset type are listed in the Valid Service History
Types list.
- Click Next to proceed to the next panel in the process, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- Use the Asset Type Action field to select either to Create a New Asset Type
or to Use an Existing Asset Type (Only non-ODM asset types are available for
selection.)
- The Maintenance Schedule panel is the second panel in the process.
- Select a Maintenance Schedule Business Object.
- Enter a Description and Detailed Description for either the In-Service Maintenance Schedule (asset is still operational while maintenance is performed) or Out of Service Maintenance Schedule (asset is not in operation while maintenance is performed), or both. At least one Maintenance Schedule is required.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Maintenance Specification panel is the third panel in the process.
- Select a Specification Business Object .
- Enter a Maintenance Specification Code and Description for this maintenance specification.
- All information is required.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Summary panel is the final panel in the process.
- All selections and inputs from the previous panels are displayed on this final panel.
- Review the information presented on the panel.
- Click Finish to create the required entities based on the information provided and to finalize this phase of the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- If needed, click the Add a Maintenance Trigger button under the Additional Process section to initiate the Maintenance Trigger Process Flow.
Initiating the Maintenance Trigger Process Flow
There are three ways to initiate the Maintenance Trigger Process Flow:

- From a Closed Maintenance Schedule Process Flow
- From a Closed Maintenance Trigger Process Flow
- From the Application's Main Menu
Use the following procedure to initiate the maintenance trigger process flow:
- To initiate the process flow:
- From a Closed Maintenance Specification Process Flow, click the Add a Maintenance Trigger button in the Additional Process section of the Summary panel.
- From a Closed Maintenance Trigger Process Flow, click the Add Another Trigger button in the Additional Process section of the Summary panel.
- From the Main Menu, select Menu, select Main Menu, select Preventive Maintenance, and then select Maintenance Trigger Process Flow. The Process Flow page opens on the Maintenance Trigger panel.
- The Maintenance Trigger panel is the first panel in the process.
- Select a Maintenance Trigger Business Object.
Upon selection, only the fields pertinent to that business object are displayed. All required fields are marked with an asterisk.
- Enter a value in the Maintenance Schedule field.
- If the Maintenance Trigger Process Flow is initiated from a Preventive Maintenance Process Flow, the Maintenance Schedule is a drop-down list that contains the Maintenance Schedules used in the Preventive Maintenance Process Flow.
- If the Maintenance Trigger Process Flow is initiated from the Main Menu, the Maintenance Schedule is a search.
- Select the appropriate crew from the Crew drop-down list.
This field is required if Auto Schedule is set to Yes.
- Enter data as appropriated in the Calendar Information section.
If the selected Maintenance Trigger Business Object is Calendar Based, at least one of the Years, Months or Days fields must be populated.
- Complete the Runtime Information section as appropriate.
If the selected Maintenance Trigger Business Object is Runtime Based, then the Runtime Values and Measurement Identifiers fields must be populated.
- Click Next to proceed to the next panel in the process, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- Select a Maintenance Trigger Business Object.
- The Templatepanel is the second panel in the process.
- Select either the Create a New Template Work Order and Activity or Use an
Existing Template Work Order and Activity
Template Action.
Upon selection, only the fields pertinent to that selection are displayed. All required fields are marked with an asterisk.
- If you are selecting the Use an Existing Template Work Order and Activity
Template Action:
- The Template Work Order search automatically filters the Template Work Orders with the selected Service History Type in the Template Activity.
- Asset Location Template is not currently available for selection.
- If you are selecting the Create New Template Work Order and Activity
Template Action:
- Asset Location Specific Template Work Order Business Object is not currently available for selection.
- The selected Service History Type in the Maintenance Trigger panel is automatically added to the Planned Service History list. You can add additional service history types to the list but cannot delete the existing ones.
- If you are selecting the Use an Existing Template Work Order and Activity
Template Action:
- Click Next to proceed to the next panel in the process, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- Select either the Create a New Template Work Order and Activity or Use an
Existing Template Work Order and Activity
Template Action.
- The Materials, Labor, Equipment, and Miscellaneous Resources panels define the resources for the work being planned.
- The Materials panel is the third panel in the process.
- If the Use an Existing Template Work Order and Activity action is selected in the Template panel, all existing resources associated with the selected Template Activity are for information only. You will not be able to add new resources or delete any existing ones.
- If the Create New Template Work Order and Activity action is selected in the
Template panel, you can add resources to the panel.
- Select appropriate Materials resources if applicable. All required fields are marked with an asterisk.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Labor panel is the fourth panel in the process.
- If the Existing Template Work Order and Activity action is selected in the Template panel, all existing resources associated with the selected Template Activity are for information only. You will not be able to add new resources or delete any existing ones.
- If the Create New Template Work Order and Activity action is selected in the
Template panel, you may add resources to the panel.
- Select appropriate Labor resources if applicable. All required fields are marked with an asterisk.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Equipment panel is the fifth panel in the process.
- If the Existing Template Work Order and Activity action is selected in the Template panel, all existing resources associated with the selected Template Activity are for information only. You will not be able to add new resources or delete any existing ones.
- If the Create New Template Work Order and Activity action is selected in the
Template panel, you may add resources to the panel.
- Select appropriate Equipment resources if applicable. All required fields are marked with an asterisk.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Miscellaneous Resources panel is the sixth panel in the process.
- If the Existing Template Work Order and Activity action is selected in the Template panel, all existing resources associated with the selected Template Activity are for information only. You will not be able to add new resources or delete any existing ones.
- If the Create New Template Work Order and Activity action is selected in the
Template panel, you may add resources to the panel.
- Select appropriate Miscellaneous Resources if applicable. All required fields are marked with an asterisk.
- Click Next to proceed to the next panel in the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- The Summary panel is the final panel in the process.
- All selections and inputs from the previous panels are displayed on this final panel.
- Review the information presented on the panel.
- Click Finish to create the required entities based on the information provided and to finalize this phase of the process, click Previous to return to the previous panel, click Save to save your inputs, or click Cancel Process to cancel out of the process flow.
- If needed, click the Add Another Trigger button under the Additional Processes section to initiate a new Maintenance Trigger Process Flow.
