Quote Actions

The topics in this section describe the Quote Action buttons on the Quote - Main page. The following links are provided so that you can move easily to specific topic within this section:

Generate

The Generate button causes one or more quote details to be created for the account's Quotable proposal SAs. This button is enabled when there is at least one Quotable proposal SA linked to the selected Account ID.

When clicked, the Generate Quote window opens.

You must specify the following parameters to generate quote details:

  • Indicate if quote details should be created for All Proposal SAs or for a Specific Proposal SA.
  • If you indicated a quote detail should be generated for a Specific Proposal SA, also specify the Proposal SA ID.

After specifying the parameters, click Generate to create the quote details for quotable proposal SAs.

Warning:

If the quote has existing quote details for the designated proposal SAs, they are deleted when you generate quote details (i.e., the system regenerates existing quote details). You can also regenerate quote details by selecting them on the Main page and clicking the Regenerate button.

Complete

The Complete button causes the quote to become complete. This button is enabled when the quote is pending and all quote details linked to the quote are OK.

Close

A quote is closed when its terms are no longer valid (i.e., when the related proposal SAs can no longer be accepted). Most quotes are closed automatically by the system (refer to Closing Quotes for how this takes place).

If you want to close a quote real time, click the Close button. When this button is clicked, the system opens the Close Quote window and asks if anything should be done with the related proposal SAs.

In the resulting window, you must specify one of the following Proposal SA Actions:

  • Choose No Action if you don't want to change the status of the related proposal SAs.
  • Choose Decline if you want the status of the proposal SAs that have contributed quote details to the quote to be changed to declined . You must also define a Decline Reason.
  • Choose Cancel if you want the status of the proposal SAs that have contributed quote details to the quote to be changed to canceled .

Reopen

The Reopen button causes a quote to return to the pending state. You would only reopen a quote if you need to prevent blatant errors from being sent to the customer. For example, if you notice an incorrect quote detail, you could reopen the quote, regenerate or delete the erroneous quote detail, and then recomplete the quote.

This button is enabled if the quote is complete.

Cancel (Quote)

The Cancel button causes the quote to become canceled. You would cancel a quote if you want a record of a pending quote that was never sent to a customer. This button is enabled when the quote is pending.

Canceling the quote does NOT cancel the related proposal SAs. If you want to cancel the related proposal SAs, you have the following options:

  • You can click the Close button rather than the Cancel button. When you close a quote, you are given the option of also canceling the proposal SAs that contributed a quote detail to the quote.
  • Before canceling the quote, you can select the quote details and click the Cancel button at the bottom of the page (in the Proposal SA Actions section). When you click this button, the system cancels the proposal SAs linked to the quote details.
  • You can transfer to the Quote - Quote Details tab and then drill down to the each proposal SA (using the SA context menu button). This transfers you to Service Agreement - Main where you can cancel the proposal SA.
