Going Ashore Validations

The following parameters can be configured in OHC Administration, under System Setup, Database Parameters to control various checks and behaviors when a profile is leaving a ship.

  • Use Ashore Denied Message: Controls whether a default message or the Shore Leave Deny Reason is used (0 = default message that can be customized in OHC Administration under Administration, System Setup, Labels Setup , SDCT01 1 = Shore Leave Deny Reason).
  • Enable Visa Check: Toggles the visa check on or off (0 = disabled, 1 = enabled)
  • SLD Manual Override: Determines whether Shore Leave Deny (SLD) messages can be overridden (0 = no override, 1 = prompt to override)
  • Minor Max Age: Defines the maximum age for a minor.
  • Enable Minor Disembarkation Authorization: Requires or waives authorization for minors to disembark (0 = no authorization required, 1 = authorization required)
  • Exclude Port from Minor Dis Authorization: Lists ports where minors can disembark without an escort (e.g., BBBGI for Bridgetown)
  • Open Balance Check: Enables or disables checking of outstanding balances for profiles (0 = disabled, 1 = enabled)
  • Check Document Returned: Enables or disables checking of returned documents for disembarking passengers (0 = disabled, 1 = enabled)

Shore Leave Denied

An error message is shown when a guest or crew member attempts to go ashore but is listed on the Shore Leave Deny List. This list can be configured in OHC Management, under Cashier, Ashore Deny List or OHC Crew under Safety, Ashore Deny List.

Manual Override Parameter

The Gangway, SLD Manual Override parameter controls whether users can override the Shore Leave Deny List restriction.

  • SLD Manual Override is enabled: Users can choose to allow the guest or crew member to proceed with disembarkation by selecting Allow. Alternatively, they can cancel the process by selecting Cancel.
  • SLD Manual Override is disabled: The system will prevent disembarkation and display a custom error message. No override option is available.

Displaying Ashore Deny Messages

When a guest or crew member is denied shore leave, a custom message is displayed. The message can be configured using the 'Gangway, Use Ashore Denied Message' parameter.

  • Using Ashore Deny Reason

If parameter Gangway, Use Ashore Denied is enabled, the ashore deny reason will be displayed along with a default message. The default message varies depending on whether the individual is a guest or crew member:

  • For guest or crew:
    This person is not permitted to go ashore. Do you want to override the onboard status?
    (Configurable in OHC Administration under Administration > System Setup > Labels Setup, GNG037).
  • For crew members from time attendance:
    This person is on duty and not permitted ashore. Do you want to override the onboard status?
    (Configurable in OHC Administration under Administration > System Setup > Labels Setup, GNG036).

The Ashore Deny Reason can be entered in OHC Management, under Cashier > Ashore Deny List or OHC Crew, under Safety > Ashore Deny List.

  • Using Custom Messages
If parameter Gangway, Use Ashore Denied is disabled, a custom message will be displayed instead of the ashore deny reason. The custom messages can be configured in
  • OHC Administration under Administration > System Setup > Labels Setup).
  • For guest or crew: SDCT01
  • For crew members from time attendance: SDCT02

The custom message will be displayed along with a default message.

Visa Check

The system checks for travel visa requirements when a guest, crew, visitor, or resident attempts to disembark. To enable this feature, set the Enable Visa Check parameter under Gangway.

The visa checking requirements can be configured in one of the following modules under Security, Port/Visa Requirement:

  • OHC Administration
  • OHC Management
  • OHC Crew
If a profile meets the visa requirement setup and does not have the required document type, they will be denied disembarkation and an error message will be showed:
Visa required. Please see the Embarkation Officer 
This message can be customized in OHC Administration under OHC Administration under Administration > System Setup > Labels Setup, VMSG01.

The visa checking requirements are based on a combination of factors, including:

  • Validity date
  • Profile type (guest, crew, visitor, resident)
  • Travel document type
  • Nationality

People Disembarking the Ship Today has Not Settled the Bill

An error message is showed when the system performs a balance check for a guest, crew member, or visitor who is disembarking on end of the day and has an outstanding balance. To enable this check, set the Open Balance Check parameter to 1 under General.

The default error message is: Has open balance. Please settle the open balance before leaving the cruise.

Note:

This check does not apply to residents. The error message can be customized in OHC Administration > System Setup > Labels Setup, GNG033.

People Disembarking the Ship today has Not Collected the Passport

An error message is showed when the system verifies that a guest, resident, crew member, or visitor is scheduled to disembark on end of the cruise day but has not collected their passport. To enable this check, set the Check Document Returned parameter to 1 under Gangway.

The default error message is: Please collect your passport at the front desk. This message can be customized in OHC Administration > System Setup > Labels Setup, GNG034

Minor Validations


Allow Minor Departure confirmation screen

The Security Officer must verify whether the assigned guardian is accompanying the minor when the minor goes ashore.

When a minor goes ashore, the Security Officer must verify that their assigned guardian is accompanying them. The system uses the parameters in the OHC Administration under System Setup > Database Parameters, to identify minors and determine if they are allowed to disembark without an escort.

  • The minor’s age is less than or equal to the Minor Max Age under General.
  • Enable Minor Disembarkation Authorization under Gangway is enabled.
  • Exclude Port from Minor Deauthorization under Gangway to determine if the minor can disembark unescorted at specific ports.

Minor With Pre-Assigned Guardian.

When a guardian profile is assigned to a minor profile, the system will show a prompt Allow minor departure with the message Please confirm the guardian who will accompany <minor's full name> ashore is present when the Security Officer processes the minor's exit. This message can be customized in OHC Administration > System Setup > Labels Setup, GNG116.

The Allow minor departure prompt has three tabs:

  • Guardian: Shows guardians assigned to the minor in OHC Management – Guests - <minor profile> - Guardian Assignment.
  • Travelling With: Lists adults with the same stateroom or booking number who are checked-in and leaving today.
  • All: Includes all adults who are checked-in and leaving today.

To view the Travelling With and All tabs, users must have the Gateway Security - Gangway and Tender - Create Guardian Assignment permission. Otherwise, only the Guardian tab is available.

When selecting a guardian in the Allow minor departure prompt, users can:

  • Click on a photo to show a larger image.
  • Click on a full name link to open the More Details page.
  • Click on any column other than photo or full name to select the record and enable the Allow button (single selection only).

The system responds differently based on the tab from which the guardian is selected:

  • Guardian: Proceeds to the next validation step
  • Travelling With or All: Shows a confirmation message Allow adding guardian and assigning permission with the message
    This person is not listed as a guardian. Do you want to add this person to the guardian list and authorize them to accompany the minor out?

If the user clicks:

  • Deny: Returns to the Allow minor departure list to select another record.
  • Allow: Adds the selected person to the guardian list and continues to the next validation step.

If the user clicks Deny, an error message is showed on the card view: A guardian should be physically present with <minor's full name> . This message can be customized in OHC Administration > System Setup > Labels Setup,GNG117.

Minor without pre-assigned guardian

Minors without a guardian assigned to their profile will not be allowed to go ashore. The default error message No guardian assignment found. Minor must be accompanied by an adult guardian can be customized in OHC Administration > System Setup > Labels Setup, GNG096 and GNG107.
