Transaction Codes Mapping

Transaction Codes are unique identifiers for department codes or articles and are used for posting.

From the Configuration main menu, select Taxes and then select Transaction Codes Mapping. In this section, you can:
  • Define Transaction Codes.

  • Map a Tax or Collection to one or multiple Transaction Codes.

  • Test the calculation of your linked taxes/collections.

By default, you can view all transaction codes.

Managing Transaction Codes

Use the following to search for a transaction code:

  • Code, Name, Mapped Tax/Collection: Enter the code or name of a transaction code or the name of the mapped tax/collection.

  • Show: By default, Show is set to All. Select Only transaction codes with no tax mapping, Only unmapped transaction codes, or Only mapped transaction codes if you want to search only within one of these groups.

Click Search to get search results. Only records matching all the selected criteria appear. Click Reset to reset the search data and get the default display.

Adding and Editing Transaction Codes

Select the Add Transaction Code button in the tool bar. Click the pencil on the right-hand side of each record to edit a record.
  • Code: Enter a unique short code to identify the transaction code quickly. This field is required and displays as the title after creation.

  • Name: Enter the name of the transaction code. This field is required.

  • Short Description: Enter a short description of the transaction code.

  • Long Description: Enter a longer description of the transaction code.

  • Tax Mapping: Select the tax you want to map to the transaction code.

  • Collection Mapping: Select the collection you want to map to the transaction code.

    Note:

    You can either map a tax or a collection to a transaction code.
  • No Tax Mapping: Select this check box if you do not want the transaction code linked to a tax or collection.

Click Submit and then select either Submit to create the record or Submit and Add Another to continue creating records. Click Update to save your edits on existing records.

Mapping Taxes or Collections

Use the following to map taxes or collections:
  • You can map a tax or collection to one transaction code while creating or editing a transaction code and select a tax or collection.

  • To map a tax or collection to one or multiple transaction codes, you can select the check box in front of one or multiple transaction codes individually or search for all unmapped transaction codes and either select the check box of the appropriate codes in the list or select the Select all check box if you want to map all codes in the search result to the same tax/collection.

  • Select the Map button in the tool bar and then select Map Taxes or Map Collections. According to your selection, the taxes or collections get listed, and you can map by selecting the Map to selected transaction code icon on the right-hand side of the tax/collection.

    Note:

    The Map button is enabled only when you select at least one transaction code.

Removing a Tax or Collection

You can remove a tax or collection by editing a transaction code and removing the tax/collection from the appropriate field.

Deleting a Transaction Code

Select the More Actions icon on the right-hand side of each transaction code and select Delete. A message provides you with the option to Keep or Delete the record.

Note:

The Delete icon is available only with the appropriate permission.

Testing Tax Calculations

The tax test calculation quickly checks whether the calculation of your linked taxes or collections is correct.

Select the More Actions icon on the right-hand side of each transaction code and select Tax Test Calculation.
