Copying Reservations

Copying a reservation creates a clone of an existing reservation in any status. Using Look to Book you can change certain details for the new reservation, including the linked guest profile and stay details. If you copy a block reservation, you will pick up a room from the block allocation. If all available rooms in the block allocation have already been picked up, you can only copy a reservation if the block is designated as elastic; in this case, the new reservation will increase the allocation of the block.

The following list identifies the details that can be copied to a new reservation created using Copy Reservation. Payment Information can be copied when the Copy Credit Card Payment Methods and Copy (other) Payment Methods tasks are assigned to your role(s).

The following Comp routing attributes are copied to the new reservation:
  • Dates

  •  Authorizer

  •  Account Number

  •  Membership Number

  •  Limit

  •  Percent

  •  Comments

  •  Comp Type

Note:

If a transaction code is removed from the authorizer but is s still on the source reservation and now copied, you will receive an error “Transaction Code is not attached with the authorizer” and copy reservation process stops. You can go back to “Select Reservation Information to be copied” pop up screen and uncheck “Comp Routing'” check box to complete the Copy Reservation.

Note:

If the Authorizer selected in the source reservation is inactive during the Copy Reservation process, an error “Authorizer is Inactive” is displayed, and the copy reservation process stops. You can go back to the “Select Reservation Information to be Copied” pop-up screen and uncheck the Comp Routing check box to complete the Copy Reservation process.

Copying a Reservation

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria then click Search.

  3. Select the reservation in the search result, click I Want To... , and then select Copy Reservation.

  4. Select the reservation information to be copied.

    1. Credit Card: Select checkbox to copy the credit card payment details.

    2. Other Payment Methods: Select checkbox to copy other payment details.

    3. Routing: Select checkbox to copy routing instructions. (Available when the Routing OPERA Control is active).

    4. Notes: Select checkbox to copy reservation notes.

    5. Item Inventory: Select checkbox to copy item inventory. (Available when the Item Inventory OPERA Control is active).

    6. Specials: Select checkbox to copy specials.

    7. Package: Select checkbox to copy sell separate packages.

    8. Click Copy Reservation.
