Posting Charges to an Event (Video Transcript)

0:06

In this video, you will learn how to post charges to an event for a block.

0:10

In OPERA Cloud go to Bookings, Events, and then select Event Posting.

0:16

Now, I can click modify the search criteria, to enter the block id, the block name, or

0:23

the event id to search for events.

0:25

To view the events for this morning, I could enter a time, for example, if I enter 8am

0:30

I would see all the events after 8am.

0:34

In this example, I enter the block id to view all the events for the block, and then click

0:39

search.

0:41

The event search criteria displays at the top of the page.

0:46

To post event charges, the events must have a posting master checked in, and the events

0:51

must be in the actual status.

0:54

I can select the transaction code magnifying glass to change the transaction code for the

0:59

revenue charge.

1:01

The available transaction codes depend on the property's configuration.

1:05

The system administrator configures for revenue type mapping to determine which transaction

1:10

codes are available based on the event type, space, catering value, or the revenue type.

1:16

Next, I select the checkbox at the top of the list to select all of the revenue charges.

1:23

And then click post, to post the charges to the event.

1:28

Now, enter your cashiering id and pin, which is required to post charges to an event.

1:35

And then click login.

1:38

Now, I see the charges display in a green color, this indicates the charges are now

1:44

posted to the event.

1:46

Now, let's take a look at how to create a banquet check for the event.

1:50

I select the check box next to the revenue amount and then, click the I Want to menu.

1:57

Click banquet check, to create the Banquet check for this block.

2:00

Now, if multiple accounts or contacts linked to the block, I can click either the bank

2:05

account or the point of contact magnifying glass to select the relevant accounts that

2:10

will print on the banquet check.

2:18

I can select the checkbox, to break the page per day, include the PMS posting, or I can

2:25

select to display the discount on the banquet check.

2:30

I can also select the printing method, to display the revenue summary, or I can specify

2:35

the currency that prints on the banquet check.

2:38

Next, I can select to preview, email or to download the banquet check.

2:44

In this example, I select preview.

2:48

And then click process.

2:50

Now, I see the banquet check I just created for this block.

2:56

Click close to go back to the application.

3:09

If the guest has a question about what's posted to their posting master account for the event,

3:14

I can go to billing to see exactly what's posted to the guest folio.

3:17

Let's take a look at how to review the guest's billing charges.

3:18

In this example, I will go to the next event by clicking the event id.

3:19

Then click the I want to menu, and click billing.

3:22

Now, enter your cashiering id and PIN, and click Login.

3:28

In billing, I can view the guest's charges on the folio.
